We are seeking a dedicated Office Manager / HR Coordinator to join our dynamic team. This role requires a detail-oriented professional who thrives in a fast-paced environment, handling both administrative and HR-related tasks. You will play a critical role in ensuring the smooth operation of our office and supporting our HR team in various capacities.
ResponsibilitiesUtilize QuickBooks Online for data entry and financial management.Create, process, and manage invoices; handle billing and email communications.Conduct daily billing and HR meetings to ensure operational efficiency.Maintain and organize HR files and execute daily filing tasks.Process time off requests within 24 hours.Schedule staff weekly, preparing schedules a month in advance.Generate daily productivity reports and SOAP audits.Audit time cards and perform batch processing.Handle purchase orders, package logs, car logs, and coordinate maintenance.Facilitate weekly staff meetings, preparing agenda and minutes.Lead weekly RT staff/admin meetings.Manage aging invoices and ensure timely collection of past due items.Provide immediate feedback on accounts requiring special handling.Adhere to departmental lunch and break schedules.Assist in interviewing, onboarding, training, hiring, and managing HR needs including license renewals.Coordinate equipment repairs with the Senior Clinician Team.Manage computer login passwords and restart computers weekly.Oversee staff emails, mailboxes, and perform daily HR and accounting checklists.Send nightly recap and pending reports by 7 PM, followed by a 6:30 PM call.Close the clinic securely and manage key holder responsibilities.Essential SkillsExperience with QuickBooks Online.Proficient in creating and processing invoices.Strong billing and payroll experience.Experience in scheduling staff.Proficiency in Excel reporting.HR experience including onboarding, recruitment, training, hiring, and firing.Strong data entry and administrative support skills.Additional Skills & QualificationsCustomer service experience.Additional experience in administrative support and data entry.Work Environment
This role is based on-site, Monday through Friday, from 9:30 AM to 6:30 PM, with occasional Saturday shifts if needed. Our team is mission-driven, dedicated to providing comprehensive rehabilitation services. You will work in a high-performance environment under the guidance of a Doctor of Physical Therapy, benefiting from a unique leadership model that offers diverse responsibilities and growth opportunities.
Pay and BenefitsThe pay range for this position is $30.00 - $35.00/hr.
