Office Manager & Bookkeeper
Description We are looking for an experienced Office Manager & Bookkeeper to join our team in Anaheim, California. In this role, you will oversee office operations and financial tasks while ensuring compliance with industry standards and regulations. This is a Contract-to-permanent position, offering the opportunity to grow within a well-established Glass & Glazing Subcontractor specializing in private and public works projects. Responsibilities: • Manage daily office operations, including accounts payable/receivable, payroll processing, and compliance reporting. • Supervise a small team in the accounting department and provide leadership in financial operations. • Oversee job costing, certified payroll, contract management, and mechanics liens to ensure accuracy and compliance. • Collaborate with project managers to streamline billing processes, handle lien releases, and complete project closeout documentation. • Ensure compliance with industry standards such as Davis-Bacon, union requirements, and state construction laws. • Prepare and deliver accurate financial statements and reports on a timely basis. • Maintain organized records of insurance, 401K plans, and HR administrative tasks. • Monitor office supply inventory and coordinate procurement to ensure smooth operations. • Act as the point of contact for internal and external stakeholders regarding financial and administrative matters. • Utilize software tools like QuickBooks and Excel to enhance efficiency in bookkeeping and reporting. Requirements • Minimum of 5 years of experience in office management and bookkeeping within the construction industry. • Proficiency in QuickBooks, Microsoft Excel, Word, and Outlook, with strong 10-key skills. • In-depth knowledge of California construction laws, certified payroll, and insurance requirements. • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively. • Familiarity with mechanics liens, union and non-union payroll compliance, and job costing processes. • High attention to detail and a commitment to producing accurate financial records and reports. • Excellent communication and interpersonal skills to work collaboratively with team members and external partners. • Experience with Davis-Bacon and other construction compliance standards is a plus.
