Join Liebherr as we embark on an exciting journey to build a strategic global IT Service Center with focus on SAP S/4HANA implementation and digital transformation worldwide in Madrid - Spain. We are seeking a proactive and experienced Office Manager & Executive Assistant to support the Managing Director, and the HR team both operationally and organizationally in establishing and scaling this new center of excellence.
Creating passion: your responsibilitiesExecutive Assistance:
Proactive support of the Managing Director in day-to-day operations and strategic initiatives Coordinate and manage meetings, key events, workshops, stakeholder sessions, and presentations Track project milestones, prepare status reports, and ensure timely follow-up on deliverables Act as a key liaison with global internal and external stakeholdersOffice Management
Lead the setup and ongoing operations of the new Madrid office, including workspace planning, facility management, vendor coordination, and office/ equipment procurement Establish office procedures and structure administrative and communication processes to support the teams, ensure efficiency, and compliance with Liebherr standards Help organize internal communication efforts (e.g., newsletters, announcements) related to the S/4HANA program and other initiativesHR Support
Collaborate with HR to execute onboarding experiences for new hires (workstations, access, welcome materials, etc.) Maintain employee internal HR records and documentation in coordination with the central HR team Support with organizing employee engagement activities, trainings, and recruitment logistics (e.g., scheduling interviews, coordinating candidate visits) Contributing your strengths: your qualifications Education: Successfully completed commercial education or university degree, ideally with a focus on office management, administration, or business Experience: Minimum of 3 years of experience in a comparable role, preferably in an international or IT-related environment Skills: Strong organizational skills and multitasking abilities. Excellent interpersonal and communication skills, with cultural awareness and professional discretion.
