Description We are looking for a detail-oriented and proactive Office Manager to join our team in Lakewood, Colorado. This Contract position offers an opportunity to oversee key administrative and operational functions that ensure the smooth running of the office. The ideal candidate will excel in multitasking, have strong organizational skills, and demonstrate professionalism in handling diverse responsibilities.
Responsibilities:
• Update and manage the organizational chart using Canva, ensuring all office moves and title changes are accurately reflected.
• Monitor and report office-related expenses, including supplies, catering, events, and maintenance, during weekly meetings.
• Maintain detailed expense records and provide monthly reports highlighting trends, cost-saving opportunities, and budget adherence.
• Oversee building access management, including updating employee badge and parking details, processing badge replacements, and reconciling building-related costs.
• Facilitate onboarding and offboarding processes by managing badge requests, parking credentials, and timely updates to the organizational chart.
• Track and manage Professional Engineer (PE) stamps, create weekly PE reports, and ensure timely renewal notifications.
• Share front desk duties with the Office Coordinator, including greeting visitors, managing meeting room calendars, and providing coverage as needed.
• Coordinate employee discount programs and assist with principal expense reports and other administrative tasks as directed.
• Perform office closing procedures, such as locking doors and powering down front office screens.
• Serve as a backup for badge processing and other administrative functions as needed. Requirements • Proven experience in office coordination, administrative support, or a related role.
• Excellent written and verbal communication skills to interact effectively with staff, vendors, and visitors.
• Strong organizational abilities with a capacity to manage multiple tasks and meet deadlines.
• High attention to detail and ability to follow through on assigned tasks and projects.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with scheduling tools.
• Ability to adapt and prioritize responsibilities in a dynamic, fast-paced environment.
• Friendly, detail-oriented demeanor and collaborative approach to teamwork.
