Job Description

This Administrative Assistant role involves performing a variety of administrative and project coordination duties within a leading construction management company.

ResponsibilitiesAssist Project Managers with day-to-day administrative tasks related to construction projects, including scheduling meetings, tracking deliverables, and preparing project documentation.Facilitate communication between internal teams, subcontractors, and clients. Manage project timelines, update project tracking systems, and ensure all stakeholders are aligned on key milestones.Prepare and submit certified payroll reports in accordance with Pennsylvania wage determination requirements. Ensure compliance with prevailing wage laws and maintain accurate labor documentation.Coordinate logistics for executive-level project review meetings. Prepare presentation materials, compile project updates, and ensure all documentation is accurate and professionally formatted.Assist in the preparation and submission of quarterly reports, including compiling data, formatting documents, and ensuring timely delivery to stakeholders.Support the onboarding process for new hires and subcontractors by preparing welcome materials, collecting required documentation, and coordinating orientation schedules.Maintain organized digital and physical filing systems for project records, contracts, permits, and correspondence. The role requires working onsite five days a week in West Chester, directly with a team of project managers and superintendents.

Pay and Benefits

The pay range for this position is $24.00 - $30.00/hr.
