Job Description
This Administrative Assistant role involves performing a variety of administrative and project coordination duties within a leading construction management company.
Responsibilities
+ Assist Project Managers with day-to-day administrative tasks related to construction projects, including scheduling meetings, tracking deliverables, and preparing project documentation.
+ Facilitate communication between internal teams, subcontractors, and clients. Manage project timelines, update project tracking systems, and ensure all stakeholders are aligned on key milestones.
+ Prepare and submit certified payroll reports in accordance with Pennsylvania wage determination requirements. Ensure compliance with prevailing wage laws and maintain accurate labor documentation.
+ Coordinate logistics for executive-level project review meetings. Prepare presentation materials, compile project updates, and ensure all documentation is accurate and professionally formatted.
+ Assist in the preparation and submission of quarterly reports, including compiling data, formatting documents, and ensuring timely delivery to stakeholders.
+ Support the onboarding process for new hires and subcontractors by preparing welcome materials, collecting required documentation, and coordinating orientation schedules.
+ Maintain organized digital and physical filing systems for project records, contracts, permits, and correspondence. Ensure all documentation is up-to-date and easily accessible.
+ Perform a variety of administrative tasks including data entry, answering phones, managing calendars, ordering office supplies, and supporting ad hoc requests from the project team.

Additional Skills & Qualifications

Work Environment
The role requires working onsite five days a week in West Chester, directly with a team of project managers and superintendents.
Pay and Benefits
The pay range for this position is $24.00 - $30.00/hr.
