The Role

Act as the primary point of contact for guests and team members, ensuring a welcoming, professional, and secure environment. Provide comprehensive support for in-person visitors, assist with digital communications, and help maintain office technology systems.

Location

This position will be onsite in Bellevue, Washington. 

The Main Responsibilities

•    Greet all visitors, answer their questions, and direct them to the appropriate person, department, or video meeting
•    Enforce security protocols, including digital check-in systems, visitor badge management, and compliance with workplace access controls
•    Support office employees, coordinating with staff on-site and online for meetings, deliveries, and guest arrivals
•    Maintain the reception area and common spaces, ensuring they are tidy, functional, and comply with health and safety guidelines
•    Facilitate smooth team handoffs by maintaining up-to-date digital logs, documenting important notes, visitor records, and any incidents
•    Assist with scheduling, calendar management, event coordination of conference rooms and technology setup for meetings and presentations
•    Oversee the inventory of office supplies, including coffee and breakroom essentials, place online orders as needed, and track deliveries using digital procurement systems
•    Ensure breakrooms are well-maintained and coffee machines are cleaned regularly
•    Monitor and respond to the emails and instant messaging channels, prioritizing urgent requests and inquiries
 

What We Look For in a Candidate

•    Minimum 2 years’ experience in a customer-facing, administrative, or reception role
•    Excellent verbal and written communication skills
•    Proficiency with Microsoft 365 and digital communication tools (e.g. Teams, Zoom)
•    Strong organizational skills and attention to detail
•    Ability to multitask and adapt in a fast-paced, flexible work environment
•    Experience with scheduling, visitor management, and supply ordering systems
•    High degree of professionalism and customer service orientation
•    Ability to maintain confidentiality and handle sensitive information
•    Problem-solving mindset and willingness to learn new technologies

Compensation

This information reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual pay is based on skills, experience and other relevant factors.

Location Based Pay Ranges

$40,793 - $65,000 in these states: WA
