Your role:
How’d you like to manage a state-of-the-art office in the heart of NYC? One set over the top five floors of a premier office tower—boasting breathtaking views, a full commercial kitchen, a 200-seat auditorium, and an executive briefing center. An office that is our North American headquarters of the leading cloud archiving solutions provider to the top global banks.
That’s right! Global Relay is looking to hire an Office Manager who will organize and coordinate all aspects of our office operations, security, and procedures. The Manager will work closely with various departments and personnel to ensure the office runs smoothly, daily.
Based full time in the office, the role is perfect if you’re organized, personable, adaptable… a self-starter who’s up for a challenge.

Your responsibilities:
Oversee office amenities, purchase and manage stock levels, distribute mail, and organize couriers Manage accounts with external vendors including office cleaners, various suppliers and contractors—and maintain strategic relationships with them Oversee the front desk team, visitor management system, and ensure all company standards are being met Manage in-house programs, including corporate mobile devices, company library, employee food & beverage program, facility bookings, and various in-house functions Assist the Business Development team in organizing and running in-house client events Oversee office facilities to ensure all equipment is in good working order, and coordinate repairs/maintenance as needed Ensure adherence to local and national laws and regulations, including occupational health and safety, fire safety, etc. Manage all physical security requirements, including creating access badges, ensuring all staff are complying with office policies and undergoing security audits regularly Maintain constant communication with management and staff to ensure proper office operations daily Assist our global HR team in coordinating efficient onboarding of new starters Assist with travel bookings as needed Organize staff social events that promote a fun, engaging office culture Oversee and help with ad hoc tasks and projects as neededAbout you:
A bachelor's degree or college diploma in a relevant field (e.g., business administration, office management) A minimum of 5 years of proven success in a similar role, demonstrating an ability to effectively manage office operations Proficiency in multitasking and managing multiple projects simultaneously Experience in planning and executing office events or functions is highly desirable, including coordinating logistics, managing budgets, and ensuring a seamless experience for attendees Proven track record of exceptional organizational abilities, including the management of schedules, resources, and office supplies Excellent communication skills, both written and verbal, with a demonstrated ability to facilitate effective collaboration with team members, clients, and external partners Advanced interpersonal skills with aptitude in quickly building positive relationships with colleagues, clients, and vendors Creative with problem-solving abilities to address office-related issues efficiently and proactively Demonstrated ability to remain composed, motivated, determined, and decisive when facing tight deadlines or challenging situations Proficiency in office software and productivity tools, including Microsoft Office Suite Able to adapt to changing priorities and the willingness to take on new responsibilities as needed Meticulous attention to detail and can ensure accuracy in office processes and documentation Familiarity with office security and safety procedures is an asset Effective time management skills to prioritize tasks and maximize productivity Proficiency in multitasking and managing multiple projects simultaneously Strong leadership capabilities an asset, including an ability to motivate and lead a team of administrative professionals In-depth knowledge of New York City's local legislation, including labor laws, regulations, and compliance requirements is an assetCompensation:
Global Relay advertises the pay range for this role in compliance with applicable pay transparency laws. Individual pay rates are determined by evaluating factors such as expertise, skills, education, and professional background.
The range below reflects the expected annual base salary, which is only one element of our comprehensive total rewards package designed to reflect our company pay philosophy, culture and values. We aim to foster an inspiring work environment and support employees' work-life rhythms. We provide a comprehensive health benefits program, including extended health coverage, short-term and long-term disability insurance, and a health spending account. Employees receive annual allotted vacation days, which increase based on tenure. New York - Base Salary Range:$95,000—$125,000 USDWhat you can expect:
