Act as the first point of contact for anyone entering the officeGreet visitors, answer phone calls, and deliver world-class service to employees and customersReceive deliveries; sort and distribute incoming mailMain point of contact with the Beaumont Condominium AssociationPurchase office supplies, specific cafeteria supplies (biscuits, coffee, fruits, etc.), and equipment as well as maintain proper stock levelsRequest all cleaning & maintenance services to 3rd. party suppliers related to the officeMonitor if the security and communication systems are working properly; report and request maintenance servicesRegister new suppliers, place POs, and request all payments related to these services following BRP´s compliance rules and processesComplete a broad variety of administrative tasks for the management team, including arranging complex and detailed travel plans, itineraries, meetings, events, and agendasCoordinate and host team meetings and workshopsFacilitate communication and collaboration with other departmentsSupport on hotelling desks and booking meeting rooms Holidays & vacations calendar managementSupport onboarding of new hiresSupport and convey BRP and other local campaigns (Diversity, Ride Out Intimidation, Waste Management, Yellow Day, etc.
YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:
Fluent in EnglishDemonstrated ability to manage the administrative aspects of a project including meeting facilitation, project management documents, and effective problem solvingExceptional attention to detail and excellent organizational skillsExperience working to develop presentations, work packages, memos, meeting scheduling and basic data analysis using Word, Excel, PowerPoint and GoogleExcellent verbal and written communication skillsAbility to work independently as well as part of a team and interact effectively across organizationPreferred previous experience working to negotiate and collaborate with external entities/vendors
