Office Coordinator (Onsite Position)

 

Position Overview

 

We are seeking an Office Coordinator as a support to our Global Facilities & Office Management Manager. This multifaceted role covers several areas, including our Physical Security Program, Office Coordination, Facilities and General Administrative duties. This position is based in the office 5 days per week Monday to Friday from 8am-4pm.

 

Our Waterloo Office serves as eSentire’s Headquarters as well as our Service Delivery Centre of Excellence, encompassing our Security Operations Centre (SOC), Threat Response Unit, Support Centre, Customer Success and System teams with a headcount of approximately 175 individuals. Additionally, the office hosts Customer and Partner visits/tours and welcomes internal visitors from other offices.

 

This role is for someone wanting to be involved in a fast-paced environment, who enjoys interacting with all levels of the business, the public and is a team player who also works well independently.

 

You will be required to maintain confidentiality and professionally interact with employees, management, and the public.

 

  

Core Competencies & Responsibilities:                                                                                                     

 

Your top priority will be providing an exceptional front of the house experience for all at our Waterloo Headquarters. In addition, you will be responsible for: 

Working in office, Monday – Friday 8:00-4:00 All access control for employees and visitors to the office (access badges) Escorting vendors when required into high security / critical space within the office Creating all UPS waybills for packages sending from the office and returning to the office Receiving and sending packages in reception or at the loading dock Acting as a back up to the Global Facilities Manager as required  Providing impeccable customer service to visitors in our office Stocking all kitchens daily Office supply stocking and inventory Other duties, relevant to the position shall be assigned as required

 

 

Other Responsibilities:

 

Assisting with compliance of health and safety regulations which will require participation in the Global Joint Health and Safety Committee. Performing other duties relevant to the position, as assigned.

 

 Skills/Requirements:

 

Understanding of physical security, compliance and execution of security measures 3+ years of experience in an administrative role Experience with office and facilities management Solid computer skills, with proficiency in the Microsoft Office Suite (Outlook, Word, Excel). Aptitude to learn new computer applications relevant to the role is essential. Strong written and verbal skills to communicate with all levels of the organization. Keen attention to detail and exceptional organizational and time management skills. Resourceful and flexible, demonstrating initiative and autonomy in task execution. Team player with a can do attitude First Aid training and certification considered an asset Keen attention to detail Able to accept and follow direction
