Job Summary
The Office Coordinator is responsible for coordinating and managing the daily operations of our Paris office. This role involves providing administrative support, managing office supplies, overseeing reception tasks, and supporting the various departments in their daily needs. The Office Coordinator is also responsible for executive support to the Managing Director of Comcast Advertising.Job Description
Executive Support
Support the Managing Director of Comcast Advertising with day-to-day diary management and meeting attendance.
Set regular catch up with Managing Director each week to review and provide support with his meetings and movements.
Execute expense reports.
Assist with travel arrangements through to completion.
Paris Office Management
Provide day-to-day support for the smooth running of the Paris office (office communications, staff access, keep the office clean and tidy, manage meetings rooms capacities and availabilities, document office procedures, advise on best practices).
Being the point of contact for FreeWheel-Comcast and NBCUniversal employees.
Supplier management - report and follow up on on-site problems with external service providers (catering, cleaning, hygiene supplies, facilities).
Collaborate with different departments and locations to address their logistical, coordination, and administrative support needs.
Assist in planning and executing internal events.
Reception Supervision
Supervise reception tasks and ensure they provide quality customer service.
Ensure effective reception coverage during office hours.
Skills & Experience
Excellent organizational skills and ability to manage multiple tasks simultaneously.
Strong verbal and written communication skills.
Mandatory English language proficiency/expertise.
Proficiency in computer tools and office software, with practical knowledge of Microsoft Office.
Ability to work independently and in a team.
Attention to detail and strong prioritization skills.
Ability to maintain confidentiality of sensitive information.
Previous experience in an administrative or office coordination role is preferred.
Previous experience in customer service or reception is an advantage.
Work/Shift Timings
Non-executive employee – 35h/week over 4.5 days – Friday afternoons off.

Education
Bachelor's Degree
While possessing the stated degree is preferred, Comcast also may consider applicants who hold some combination of coursework and experience, or who have extensive related professional experience.
