Position Summary

The Office Coordinator completes administrative tasks that help support and ensure regulatory compliance.

Assignments

Preparation, classification and security of medical documents.

Mail necessary communication to participants and caregivers.

Completion of regulatory functions to maintain quality and compliance of the program. 

Assist with core quality and compliance reviews.

Shares responsibility of answering main telephone line and directs incoming calls to appropriate personnel.

Assists with case transfers, opens and closures.

Mail distribution to appropriate staff-scanning to staff email when necessary.

Query reports for service verification database.

Assist with audit preparation.

May assist in participant emergency situations-calls, visits, etc.

Provides backup for other support staff.

General Assignments

Record time and attendance via HRIS and Timekeeping system

Attend meetings/training as requested/required.

Model the organization's mission and values.

Other duties as assigned.

Education & Qualifications

A High School diploma or equivalent along with 2-4 years relevant experience.

A valid driver's license and access to an automobile for agency business are required. 

Proficiency with MS Office, computer/laptop, tablet and cell phone required.

Essential Characteristics and Behavior

Excellent attention to detail, high degree of organizational skills, multitasking ability with the ability to prioritize multiple functions and tasks.

Demonstrate the ability to communicate well with internal and external resources, including consumers and all levels of staff. 

Maintain confidential information within HIPAA guidelines and organizational policies.
