Position Summary

The Office Clerk reports to and works under the supervision of Corps officers, assist with all duties assigned by Corps officers, mailing correspondence, contacting donors, keeping privacy, assisting with ministries such as troops, setting programs with necessary equipment of supplies, setting special events, and seasonal events.

 

Essential Functions

Office Clerk, for The Salvation Army is a position of sacred trust – representing, nurturing, protecting and advancing the mission and purpose of The Salvation Army; and serving the needs of people in our community with dignity and respect.   As such, all employees are expected to fulfill the following responsibilities within the scope of duties they perform:

Organizes and prioritizes the various tasks of the San Fernando Valley office in order of their importance.

Answering phones and directing calls accordingly Provide information about Corps and Social Service program. Support all the regular and seasonal assistance programs to the community. Make flyers, posters, letters, and social media posts Coordinate volunteer activities, including managing applications, assigning projects, and overseeing the hiring process for bell ringers. Maintain and organize WM and CCM Corps records in the R Drive, along with documentation for other programs, coordinate CCM visitations with corps members and officers. Processing AP, Credit Card receipts and AR. Actively support and participate in all Salvation Army campaigns, initiatives, and related training programs Communicates directly with donors, partners and Corps Officers daily regarding any issue. Opens and sorts all incoming mail for the San Fernando Valley Corps including confidential matters. Make deposits to the bank weekly after counting. Willing to empty trash cans, clean glass window and pick up chairs and tables as needed Confidentiality of all documents and personal information. Track and maintain record of PTM, volunteers and employees training and update as needed Schedule repairs, and or obtain quotes for repair from different vendors accordingly.

 

Administrative software-related skills  

Organize files accordingly Responsible for all aspects of office supplies Usage of Army apps and upkeep records accordingly Renew license and permits accordingly Any other assignment as assigned by Corps Officers

 

Seasonal Effort

Assist with client intake for seasonal assistance as needed. Assist with the collection and distribution of toys and food, as assigned by Corps Officers and in coordination with community donors. Kettle program (locations, hiring workers paperwork, counting money) Assist with delivering or collecting kettles from locations. Assist with back-to-school program Assist with Summer camp program Set up and maintain contact with store for Angel trees at Walmart Reach out to vendors as assigned by Corps Officers

 

Special Events Logistics

Assist with logistics and planning for special events, including setup, advertising, operations and clean up. Drive for any of the programs or events according to the need.

                                                 

Working Conditions

Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis.  Ability to grasp, push, pull objects such as files, file cabinet drawers, and reach overhead.  Ability to operate computer, fax and telephone. Ability to lift up to 40 lbs.

Minimum Qualifications

High school diploma required Must have data management and reporting skills. Minimum of two years of secretarial and programs experience. Valid California driver license

 

Skills, Knowledge & Abilities

Good communication skills, including both oral and written. If working in an area with children a criminal background check is required with certification for Protect the Mission policies and procedures. Driving test and pass MVR check Bilingual English/Spanish preferred. Able to function in a fast-paced, frequently changing environment. Must possess good Guest Relations skills Ability to work flexible hours including some weekends and evenings a must.
