General Statement of Job
This position involves working closely with the Training Manager to support our organization’s mission of providing excellent service to employees and ensuring smooth operations of our training and engagement programs.
As a key member of the team, the Office Assistant II handles a variety of tasks, including managing administrative functions, assisting employees and managers, and helping to coordinate and facilitate training sessions and employee engagement activities. This role provides an opportunity to develop skills in HR and training while contributing to a positive and engaging workplace environment.
This position is part-time with scheduled hours up to twenty-four (24) hours per week. Day to day worksite may vary between the Human Resources offices located at City Hall or offsite City locations.
Essential Functions
+ Checks forms, records, reports, applications, and other materials for accuracy, completeness, and conformity with established procedures.
+ Assist members of the public, employees, and/or applicants with questions and requests for information either in person, over the phone or via electronic communication.
+ Enters and updates information, and generates standard reports using computer software applications
+ Maintains inventories and mailing lists, orders supplies, and various other records
+ Composes routine correspondence; prepares a variety of routine reports.
+ Operates standard office machines, word processing, and data entry equipment.
When Assigned Training/Employee Engagement duties
+ Manage the scheduling of onsite and online classes and tracking of employee enrollments within the Oracle Learn LMS (Learning Management System)
+ Performs general system administration and testing of the Oracle Learn LMS and any third-party training system (e.g. LinkedIn Learning, OpenSesame, etc.)
+ Assist with the coordination and delivery of orientation and onboarding programs.
+ Assist with coordinating the logistics of on-site training.
+ Assists in maintaining the content and information within the division website and intranet site.
+ Process purchase orders, invoices, and related procurement activities associated with employee training and development.
+ Assist with coordinating employee events and participating in outreach programs both for internal engagement and externally through job fairs and similar events.
+ Assist with identifying training needs and curriculum development

Minimum and Preferred Qualifications
+ High School Diploma or GED equivalent required
+ Two (2) years of clerical or administrative experience required
+ Possession of a valid State of Florida Class “E” driver’s license
PREFERRED QUALIFICATIONS:
+ Holds an associate’s or bachelor’s degree in Business Administration, Human Resources, Education, or a related field.
+ Experience coordinating logistics for in-person and virtual training sessions
+ Prior experience with Learning Management Systems (LMS)

ELIGIBILITY REQUIREMENTS: To be eligible to receive Paid Leave and to contribute to the 457 Deferred Compensation Plan, a part-time employee must have worked at least 1,040 hours in the prior fiscal year
PAID LEAVE: Employees who work a minimum of 1,040 hours per fiscal year will receive twelve (12) hours of Paid Leave on October 1st. This Paid Leave shall be used no later than September 30th of that fiscal year or it will be forfeited. These hours may not accumulate and may only be granted with the approval of the employee's supervisor. This paid leave has no cash value at separation of employment.
MISSION SQUARE 457 DEFERRED COMPENSATION PLAN: Employees who work a minimum of 1,040 hours per fiscal year will be allowed to participate in the 457 Deferred Compensation Plan. The City will not provide any matching funds.
