Duties Description The incumbent of this position will report to the Operational Support Branch within the Office of Fire Prevention and Control. This position provides support and processing of work assignments to technical staff members within the Office of Fire Prevention and Control. Duties include but are not limited to the following: ·Answer the Office of Fire Prevention and Control main phone line. ·Format and type correspondence, reports, and other related materials. ·Create spreadsheets. ·Assist with procurement activities. ·Develop and maintain the office filing system and manage record maintenance. ·Review the proposed training schedule and verify that instructors are authorized to deliver requested course. ·Schedule the proposed training schedule, send confirmation of schedule, and add schedules to the Learning Management System. ·Process State Fire Instructor Pay Vouchers, pull correlating proposed schedules, and verify that payment requests are accurate for date, time, and location. ·Enter vouchers into the Scheduling Payroll Data System (SPDS) for processing at the appropriate rate of pay of instruction, with correlating voucher number. ·Process applications for New York State Certifications as found in the Minimum Standards for Firefighting Personnel in the State of New York. ·Process applications for the National Certification Program. ·Process requests for the participation of career fire departments in New York State in the Basic Fire Training Program and In-Service Training Program as required by New York State regulations. ·Additional duties as required.
Minimum Qualifications NY HELPSThis title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*** To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open-competitive minimum qualifications for this position. The qualifications are: One year of clerical experience. TRANSFERApplicants may also be appointed to this position if currently reachable of the appropriate eligible list; OR are a current New York State Division of Homeland Security and Emergency Services employee with one year or more permanent, contingent-permanent or 55b/c service as an Office Assistant 2 and are interested in reassignment; OR are a current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 07 and eligible for transfer under Section 70.1 appropriate of the Civil Service Law. 52.7 NON-COMPETITIVE PROMOTIONIf there are no more than three qualified candidates in the promotion field for this position, the agency will request approval from the Department of Civil Service to fill this position via a noncompetitive promotion (NCP) examination, pursuant to Section 52.7 of the Civil Service Law. In order to be eligible for the NCP, candidates must be in the direct promotion field, have had one year of permanent competitive or 55-b/55-c service as an Office Assistant 1; or one year of permanent service in a clerical, or keyboarding title allocated to Grade 6 or higher, and must not have failed, or failed to take the last holding of the promotion examination for the title listed above. Additional Comments NOTE: Support of operations during times of emergency and disaster from State Emergency Operations Center (EOC), state field offices and/or local deployments may be required, which would result in a change and/or increase in working hours, locations and/or duties. NOTE: This position may be assigned to work at the Office of Fire Prevention and Control (OFPC) Fire Operations Center during activations and emergencies. The incumbent will be responsible for the effective administrative support and processing of work assignments for OFPC. NOTE ON TELECOMMUTING: Employees are required to apply and obtain approval through management to telecommute according to the agency's Telecommuting Program Guidelines. ***This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
