Office Administrator for Employment Services (Part-Time)

Job Summary

The Office Administrator supports the administrative functions of the Tallahassee office and its staff. This role serves as the first point of contact for incoming calls and visitors, ensures smooth office operations, and provides direct support to the Benefits Counseling team. The Administrator also assists with coordination of Discovery activities, Work-Based Learning Experiences (WBLE), and Career Camps as needed.

Primary Duties

Serve as the central receptionist: answer incoming calls, greet and direct visitors, and route communications appropriately.

Manage incoming and outgoing mail, monitor fax and copier functionality, and ensure general office equipment is maintained.

Enter client data into SetWorks and billing information into Aware, ensuring accuracy and consistency across systems.

Provide administrative support to Benefits Counseling staff, including scheduling, documentation, and data entry.

Assist with coordination and logistics for Discovery activities, WBLEs, and Career Camps as needed.

Additional Responsibilities

This part-time position (25 hours per week) offers a contractual base rate of $16.00 per hour, with the opportunity to earn additional monthly performance-based incentives. These incentives are tied to achievement of key metrics and outcomes aligned with the responsibilities of the role and the contracts supported.

Support staff with general office tasks including meeting coordination, travel arrangements, and supply orders.

Schedule and monitor usage of meeting spaces (Meeting Room, Training Room, Board Room).

Assist with meeting preparations and take minutes as needed.

Support CARF accreditation preparation as directed by the Senior Director of Rehabilitation Services.

Perform other responsibilities as assigned.

Qualifications: Education, Experience, and Certification(s)

High school diploma or equivalent (GED) required.

Associate's Degree (AA/AS) in Psychology, Human Services or related field plus one (1) year of work related experience required.

Bachelor's Degree (BA/BS) in work related field preferred.

Minimum of five (5) years of related administrative or clerical experience preferred.

Knowledge, Skills, and Abilities

Strong interpersonal skills; able to work effectively with individuals at all levels internally and externally.

Proficiency in Microsoft Office Suite; ability to learn agency-specific software.

Excellent verbal and written communication skills.

High attention to detail and accuracy in data entry and documentation.

Physical Demands
