The PositionThe Office Administrator (contractor role) acts as a first point of contact with the company, and takes care of the office organization providing administrative support to all team members. Supports organization of office events ensuring organizers and visitors have everything necessary for the event to proceed flawlessly, attends to visitors and external services providers and deals with inquiries on the phone and face-to-face.

Main Responsibilities:
Welcomes & attends to visitors and external services providers.
Handles inquiries on the phone and face-to-face; takes and relays messages.
Handles incoming and outbound postal & courier services & parcels and manages external vendors i.e. tracking & invoicing of these services. Picks up, sorts and distributes incoming mail and parcels.
Takes care of printing corners across the office ensuring all are well equipped with stationary and in order.
Restocks meeting rooms with stationary and meeting supplies.
Acts as a goods receiver for office supplies and other deliveries, as assigned.
Performs Security and SHE activities, based on local internal regulations and as directed by the local Security and SHE Officers.
Accountable for physical document archiving process. Manages the process of physical archiving of all official company documentation with the external archiving service provider.
Coordinates and facilitates monthly expense reporting process. Supports employees and ensures all expense reports are correctly & timely submitted and processed, all supporting documents are in place. Performs initial expense reporting check and approval before posting for payment.
Manages and issues business trips orders.
Assistance in daily general administrative tasks.
Assistance in business on-site events.
Performs other tasks as assigned.
Key Requirements:
● Higher education (BSc. or undergraduate)
● Previous experience in corporate setting is preferred
● Good verbal and written communication skills
● Having customer service orientation, patient and supportive
● Strong interpersonal and collaboration skills
● Honest, trustworthy, demonstrating sound work ethics and compliance
● Self-motivated, well-organized and efficient
● Ability to multitask, plan, prioritize and work under pressure
● Excellent computer skills (MS Office)

● Fluent in Bulgarian and English
