Job Description
The Office Administrator will be responsible for ensuring a positive and professional first impression for all visitors and guests. This role involves managing the reception area, maintaining office supplies, supporting customer service, assisting with accounts receivable and payable, and aiding procurement tasks.
ResponsibilitiesReception: Ensure a positive and professional first impression for visitors, guests, vendors, customers, and the public. Provide general information about the organization, direct visitors to appropriate resources, and notify personnel of arrivals. Maintain the phone system professionally and promptly.Office Environment: Manage office supplies and procurement. Maintain a safe, organized, and clean reception and main office area. Receive, open, sort, and distribute mail. Distribute company documents and notices, such as holiday schedules and payroll checks. Maintain and organize office files and update the company calendar. Assist in managing vendors for general office equipment.Customer Service: Assist the customer service/planning manager with tasks, including scanning, closing, and filing work order information, preparing repetitive quotes, and generating periodic reports for scrap rate and inventory levels.Accounts Receivable and Accounts Payable: Assist the CFO with tasks such as processing incoming and outgoing invoices and generating periodic reports for AR/AP aging.Procurement: Assist the procurement manager with tasks, including processing purchase orders.Essential SkillsProficient in Microsoft Office tools.Experience in customer service and/or related functions.Excellent communication skills both verbal and written.Strong interpersonal skills and teamwork ability.Prior experience with an ERP system preferred.Additional Skills & QualificationsFamiliarity with Precision Machining operations is a plus.Must have a 'bring it on' attitude.Excellent time management skills.Work Environment
This role is based onsite in Morgan Hill, operating Monday through Thursday from 7am to 4:30pm, and Friday from 8am to 12pm. The position does not include overtime hours. The role offers full benefits including health, vision, dental, 401k, and life insurance with potential for conversion.
Pay and Benefits
The pay range for this position is $25.00 - $25.00/hr.
