Job Description
We are seeking a dedicated and professional Office Administrator responsible for ensuring a welcoming and efficient office environment. The role involves managing the reception area, maintaining a safe and organized office space, assisting with customer service, and supporting various administrative tasks.
ResponsibilitiesGreet and provide a positive and professional first impression to all visitors, guests, vendors, and customers.Supply general information about the organization and direct visitors to the appropriate resources.Maintain the phone system in a professional and timely manner.Manage office supplies and their procurement, ensuring an organized and clean reception and main office area.Receive, open, sort, and distribute mail and company documents such as holiday schedules and payroll checks.Maintain and organize office files, update the company calendar, and help manage vendors for office equipment.Assist the customer service/planning manager with tasks such as scanning, closing, filing work order information, preparing quotes, and generating reports.Support the CFO by processing invoices and generating accounts receivable/accounts payable reports.Assist the procurement manager with tasks including processing purchase orders.Essential SkillsProficiency in Microsoft Office tools.Experience in customer service and related functions.Excellent communication skills, both verbal and written.Strong interpersonal skills and teamwork abilities.Ability to work well with various personality styles at all levels of the organization.Effective time management skills.Additional Skills & QualificationsFamiliarity with Precision Machining operations is a plus.Prior experience with an ERP system preferred.A proactive and positive attitude.Work Environment
The position is based onsite in Morgan Hill.
Pay and BenefitsThe pay range for this position is $25.00 - $25.00/hr.
