Office Administrator
Title: Office Administrator Program: Clinton Residence Salary Range: $45,000 per year Program Description: Clinton Residence is a 57-bed transitional treatment facility for mentally ill adult men and women with a history of chronic homelessness. The residence provides comprehensive assessments and interventions supporting the recovery model of mental illness. Once supported to attain their highest level of independence, residents are referred to appropriate levels of permanent housing. Overall Responsibilities: Under the oversight of the Program Director, the Office Administrator is responsible for ensuring efficient operation of all on-site administrative support activities at the program site. The Office Administrator works closely with the Program Director to ensure overall operation of the program. The Office Administrator must possess a good knowledge of office procedures and the ability to identify and address operational problems. The Office Administrator is expected to exercise initiative and judgment and provide support and guidance to all staff. Essential Duties and Responsibilities: The essential duties of the Office Administrator include but are not limited to the following activities: + Creating and maintaining program data in excel and other databases + Fiscal management of site funds; vendor management; maintaining inventory of office equipment and manage office equipment service contracts as necessary; purchase of program and office supplies. + Manage staff e-time; prepare and submit staff timesheets and monitor accruals. + Collect all monthly service fees and prepare a monthly Program Fee report. + Conduct regular contact with administrative office to confirm receipt of residential fees. + Tracking Service Fee arears and assist Case Manager with the development of repayment plans with client. + Conduct client banking on a weekly basis, or as required. + Manage all Representative Payee bank accounts. + Prepare and submit all transactions and required reports and documentation to the Finance Department and Program Director. Maintain filing systems related to client financial records, petty cash transactions, check requests, and purchase orders. + Purchase client supplies, program supplies, and office supplies with the approval of the Program Director and maintain an inventory system. + Serve as liaison with service contractors and vendors as directed by the Program Director. + Attend all meetings and trainings as required. + Other duties as assigned. Qualifications: + A High School diploma or GED; a Bachelor's degree is preferred. + A minimum of three (3) years of experience working in a residential program serving individuals with mental illness and chemical addictions.\ + Proficiency in Windows-based software (Word & Excel) and use of electronic case management & restorative services software preferred; + Experience in securing and managing entitlements benefits desirable; + Ability to relate well to all residents, agency staff and community contacts + Able to work well and easily within a team + An ability to work cooperatively with the interdisciplinary team in order to serve the needs of residents. + An ability to interact well with all levels of staff, residents, and guests visiting the building. + Excellent oral, written, and listening skills. + Excellent organizational, coordination and time management skills; ability to work independently; determine and manage deadlines.
