Role Overview
The Occupancy Planner will join our Occupancy Planning and Management team to successfully manage client space requirements, gather and evaluate business information, occupancy data, and real estate market data. This role provides critical support for strategic planning, presentations, and real estate reporting for our clients.
Primary Responsibilities
Space Management & Planning
Track, analyze, and update space data to develop scenario and occupancy plans for client portfoliosPull plans from space data management systems and analyze space utilization dataUnderstand space allocation principles and maximize space efficiencyDevelop space planning and block diagrams to support client needsProvide key data points for presentations and outline pros & cons between optionsClient Collaboration & Relationship Management
Foster critical relationships between various individuals and organizationsWork with Facilities Managers and Project Managers on projects related to moves, space audits, occupancy, vacancy, and change managementCoordinate large, multi-phase relocations/restacksEnsure accurate reporting using IWMS toolsCollaborate with project and construction teams on large facility projectsReporting & Data Analysis
Present utilization data in clear, meaningful formatsReconcile discrepancies from top-down projectionsTrack and report actual seat demand at group levelIdentify proactive needs and troubleshoot deficienciesContribute strategic planning ideas to resolve campus/building-specific forecasts and issuesQualifications
Experience
1-2+ years of work experience in facilities, space planning, occupancy management, or CAD/CAFM related rolesExperience with interior office renovations is highly desirableWorking knowledge of occupancy utilization, office design principles and trends such as mobile or collaborative workplaceEducation
Bachelor's Degree in Architecture, Interior Design, Real Estate, or related field preferredTechnical Skills
Microsoft Excel proficiency (pivot tables, VLOOKUP, cell calculations)Strong PowerPoint skills for data and floor plan presentationsAutoCAD and CAFM/IWMS system experience highly desirableAbility to read and interpret floor plansProfessional Skills
Excellent written and verbal communication skillsStrong interpersonal skills with ability to interact with executive-level clientsCritical thinking and data storytelling capabilitiesDetail-oriented with high accuracy, particularly with numbers and spatial creativityStrategic thinking with ability to simplify complex conceptsProactive problem-solving approach and innovation mindsetAdaptability to change with an appetite for calculated risksEstimated total compensation for this position:
77,900.00 – 105,100.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
