What this opportunity involves:

Reporting to the Relationship Director, you would develop and execute operational strategies aligned with the Clients overall goals and objectives, ensuring consistency and compliance across portfolio. Develop and maintain relationship with key stakeholders. Develop sound working relationships with key functional leads and operational facilities staff including client site leads. Build strong working relationships with key stakeholders and site staff.

Main Duties Include:

Facilities Management Operation

Oversee management of facilities and services contracts required under Leidos responsibilities.Oversee management of planned and routine maintenance requirements and maintenance of asset registers, adherence to compliance management.Coordinate and manage repairs across various trades (e.g., electrical, plumbing, HVAC), prioritising and allocating resources for urgent repairs.Identify and maintain a register of critical assets across all facilities.Develop and implement specialised maintenance and monitoring programs for critical assets.Manage the compliance walkthroughs schedule and work with the Leidos site leads who will perform the inspections.Identify and mitigate any non-compliance issues or potential risks.Defects Liability Period (DLP) support (if needed).Ensure timely response and resolution of all complaints.Act as the point of contact for landlord-related maintenance issues and escalate disputes to Leidos property managers.

Workplace Health, Safety and Environment Compliance

Responsible for the management of risk, QMS, EMS and health and safety ensuring properties within the portfolio are fully compliant with all local laws, standards and statutory requirements.Adherence to Leidos’ and JLL’s business conduct by ensuring compliance with the companies’ guidelines, procedures and strategies.

Sourcing & procurement

Work with the procurement team on facilities and services contracts to ensure compliance with Leidos’ and JLL’s procurement policies and value for money outcomes.Oversee the subcontractor management for Leidos ensuring cost saving, efficiencies and value initiatives are achieved.

Business continuity & planning

Co-ordinate and review disaster responses processes and assist with JLL Business Continuity plans.Ensure disaster recovery and business continuity planning are implemented and maintained across the property portfolio.

Reporting (Operational & Financial)

Assist in the delivery of all operational and financial reporting requirements.Assistance with the financial management of Property Operating Expenses.

Employee specification

Minimum 5 years’ experience in a facilities management with proven track record in managing multi-site facilities operationsStrong business and financial acumenTertiary qualification in Building, Engineering, Facility Management or Business Administration would be an advantageExperience in handling client sensitivities, knowing when to escalate with urgency and how to de-escalate key risksKnowledge of HS&E requirementsKnowledge of vendor management for specialised services
