NAM Offer & Employment Agreement Specialist
Job Description SummaryIn this role, you will be responsible for processing the transactional components of the offer letter for our GE Vernova pre-hires. You will follow a clear set of tasks to complete requests which will help to ensure a seamless transition for pre-hires joining our business. Your attention to detail, excellent communication skills, and ability to collaborate with various teams will be critical for success in this role. This person will ensure a positive experience for pre-hires while ensuring they are fully prepared to contribute effectively to the organization.

Job Description

Must be able to work during U.S. Eastern Time Zone business hours to support the North America offer and pre-boarding process

Roles and Responsibilities

Collaborate with the HR team, hiring managers, and Talent Acquisition team to gather necessary information for creating accurate and comprehensive offer letters

Ensure services are delivered in a timely manner with guidance from NAM Offer & EA Team leader, while ensuring high standards of accuracy and quality are maintained, based on compliance with relevant legal and GE policy requirements.

Utilize templates and tools to generate offer letters, ensuring that all necessary details are included, such as compensation, position details, and other terms and conditions.

Communicate with candidates regarding offer details, answering questions, and addressing concerns they may have about the offer letter.

Upon acceptance of an offer by a candidate, ensuring that all pre-hire tasks are provided to candidate in a timely manner to ensure that we meet agreed upon start date

Partnering with vendors (i.e. Background check and Drug testing vendor, etc) to ensure pre-hire tasks assigned to new hire are effectively assigned in a timely manner

Monitor the progress of the tasks from offer letter submitted to employee start date

Identify areas for improvement and propose solutions to enhance the candidate experience and overall offer/pre-onboarding process.

Ability to recognize when to escalate issues that would impact the experience for a new hire

Coordinate video calls with new hires to review employee-provided documents and verify identity and employment authorization

Process and complete Form I-9 section 2 for all newly hired employees in accordance with USCIS regulations

Ensure timely completion of Section 1 and Section 2 of the I-9 form within prescribed deadlines

Maintain organized and secure records of I-9 forms and supporting documentation

Coordinate with NAM Onboarding Leader to resolve any discrepancies or compliance issues

Working hours will follow the U.S. Eastern Time Zone to support the North America offer and preboarding process

Required Qualifications

Bachelor’s degree from an accredited university or college in related area (or a high school graduate/GED or equivalent with at least 3 years of relevant work experience)

Must be able to work during U.S. Eastern Time Zone business hours to support the North America offer and preboarding process

Desired Characteristics

Strong customer service focus, with the ability to anticipate customer needs with a high level of responsiveness

Excellent organizational and time-management skills to manage multiple tasks and deadlines effectively.

Excellent written and verbal communication skills.

Prior experience in HR, recruiting, or a similar role is preferred.

Familiarity with HRIS (Human Resources Information Systems) and document management tools.

Proficiency in Microsoft Office Suite (Word, Excel)

Applies solid judgment ensuring integrity, compliance, & confidentiality

Passion for continuous process improvement and simplification

Ability to anticipate and resolve challenges
