Mobilization Specialist
Job Overview Job Title: Mobilization Specialist Job Location: Tampa, FL Job Responsibilities Trace Systems is seeking a Mobilization Specialist to join our Tampa, FL location. This critical role will coordinate preparations for mobilization to the employee's AOR through CRC and maintains the AOR deployment requirements by providing SPOT generated LOAs, Country Clearances, Fit for Duty Medical Forms, Training instructions, and point of entry requirements for international travel. Essential duties and responsibilities include: Serve as the primary point of contact for deployment and demobilization coordination, including analysis, issue resolution, and process improvements. Stay current on relevant federal, state, and contract-specific regulations. Ensure full compliance with Foreign Clearance Guidelines and theater-specific requirements for Direct Contract Employees. Manage pre-deployment activities in alignment with contract requirements, CRC policies, and AOR guidelines. Initiate and track overseas passport, visa, and work permit processing for employees. Collaborate with external vendors to expedite visas, passports, authentications, company registrations, and procurement actions. Coordinate CRC reservations, travel requests, and waiver processes with deep understanding of applicable policies. Communicate international travel and point-of-entry requirements; administer Letters of Authorization (LOAs) and Country Clearances. Liaise with onboarding employees, Program Management, and subcontractors to ensure timely completion of all pre-deployment requirements. Monitor and audit compliance items such as required training, medical clearance expirations, visas, and passport validity. Perform additional duties as assigned. Minimum Qualifications U.S. Citizenship required due to contract obligations. Must be eligible to obtain a U.S. security clearance. A minimum of 1-4 years of experience in personnel and time management (preferred). Prior support and travel coordination experience within U.S. Military or Government Contracting environments. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint). Strong individual contributor with a sense of urgency and critical thinking ability. Effective communicator—both written and verbal—with the ability to engage across all organizational levels and with external vendors. Able to interpret and explain guidelines clearly. Professional handling of highly confidential information. Team-oriented, adaptable, and organized with strong multitasking skills. Self-motivated and resourceful; comfortable in a dynamic, multi-functional role. Willing to work a flexible schedule as needed. Desired Qualification Prior experience in human resources, business operations, or travel activities preferred. Education High school graduate required.
