Description We are looking for a dedicated Medical Unit Clerk to join our team in Shelton, Washington. This Contract-to-Permanent position offers an opportunity to support a locked mental health facility that provides essential care for adults experiencing psychiatric emergencies. In this role, you will play a crucial part in ensuring the accuracy and organization of medical records while collaborating closely with clinicians, nurses, and doctors.
Responsibilities:
• Review and organize patient charts to ensure all medical records are accurate and complete.
• Collaborate with medical staff to follow up on missing documentation, signatures, or required updates.
• Scan and upload essential patient information into electronic systems, maintaining confidentiality and compliance with HIPAA regulations.
• Verify that medical notes align with recommended treatments, pharmacy referrals, and patient visit dates.
• Conduct daily audits of charts to ensure compliance with census requirements and internal checklists.
• Prepare charts for referrals and ensure they meet standards for pharmacy documentation or patient history closures.
• Maintain strong organizational practices to identify and resolve deficiencies in records.
• Communicate effectively with busy medical staff, using a diplomatic yet assertive approach to meet deadlines.
• Utilize medical terminology and charting expertise to clean up and manage disorganized records.
• Support the auditing process to ensure all records meet compliance standards. Requirements • At least 1 year of experience in medical records management or a related role.
• Proficiency with electronic medical record systems, such as Allscripts and EHR.
• Strong knowledge of medical terminology and charting practices.
• Familiarity with HIPAA compliance and confidentiality standards.
• Advanced skills in Excel and general Office applications.
• Ability to perform clerical duties with precision, including scanning and organizing patient records.
• Exceptional organizational and time management skills.
