What we want The Medical Receptionist I greets patients/clients and visitors in the counseling center, manages patient/client calls for scheduling and appointments, and directs calls to appropriate clinical staff. Performs front desk duties such as data entry in the Electronic Health Record (HER) system, handles billing and insurance verification, and provides general administrative support for clinic operations. Plays a key role in managing patients/clients in crisis, calmly and professionally connecting them with clinical staff for immediate assistance. FERPA and HIPAA training are required upon employment and must be completed on a recurring basis as determined by policy and job duties. Qualifications Required Education and Experience + High school diploma or equivalent combination of education and experience. + Two years of experience in general office, medical office or related areas. Preferred Qualifications + Associate’s degree + Two years’ experience in general office or personnel operations including one year experience working within a medical office. + Prior Electronic Health Records (EHR) experience + Familiarity with electronic medical record systems. Knowledge, Skills, and Abilities + Skilled in the operations of a medical office. + Basic computer and typing skills. + Knowledge of HIPAA guidelines. + Ability to multi-task and work cooperatively with others. + Ability to work with the public. + Ability to work with sensitive information and maintain confidentiality. + Ability to use and manage an electronic medical records system. + Ability to work independently. + Knowledge of word processing, spreadsheet, and database applications. + Knowledge of laws and regulations related to confidentiality, including HIPAA and FERPA. + Planning and organizational skills. + Strong written and verbal communication skills. + Attention to detail. + Time management capabilities and prioritization skills. Responsibilities Customer Service + Handles phone calls from patients/clients who need to schedule appointments to include adding new patient/clients, verifying demographic information and insurance + Routes calls to clinical staff and enter phone notes as appropriate. + Assists with complex scheduling, canceling, and rescheduling appointments, and routes patient/client calls. + Manages patients/clients in crisis and connecting them with clinical staff for immediate assistance. Registration + Verifies patient/client demographic information, collects co-pays and past-due balances, and manages the patient/client waitlist. + Assists with insurance verification, portal registration, and check-in/check-out processes. + Scans insurance cards and IDs, and assists patients/clients with kiosk use. + Coordinates the check-in process to ensure a smooth and efficient experience. + Monitors clinic schedules and maintain efficient patient/client flow throughout the day. + Verifies and updates patient/client eligibility, demographic details, and insurance information in the electronic medical record system. + Collects required document signatures for compliance and insurance purposes. + Confirms eligibility for Texas A&M University student health insurance. Administrative Support + Completes various projects that can include, but not limited to, correcting denied claims due to registration errors, contacts patients/clients related to upcoming visits, schedules patient/client for visits, input patient/client demographics. + Acts as a liaison between client services and medical and counseling staff. + May assist with training of student employee staff.
