Medical Office Secretary - Kingdom Internal Medicine

Northeastern Vermont Regional Hospital (NVRH) is seeking a dedicated Medical Secretary to provide essential administrative support in our Kingdom Internal Medicine (KIM) medical office. In this role, you will serve as the primary point of contact for patients, managing appointment scheduling, maintaining accurate medical records, and ensuring a smooth patient flow. You will handle telephone communications, process referrals, assist with patient registration and checkout procedures, and support billing functions, including basic medical coding. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to providing compassionate patient care while maintaining the highest standards of confidentiality and professionalism in a fast-paced healthcare environment.
**Key Responsibilities:**
+ **Patient Care Coordination** - Schedule appointments, greet and register patients, manage patient flow throughout visits, and coordinate follow-up appointments, lab services, and radiology as needed.
+ **Medical Records Management** - Establish, update, and maintain comprehensive patient medical records, lab results, and referral letters, while ensuring accuracy and completeness of all medical records.
+ **Communication and Administrative Support** - Answer and screen telephone calls according to protocols, take detailed messages for healthcare providers, process prescription refill requests, and provide general secretarial support, including typing and form preparation.
+ **Billing and Payment Processing** - Collect patient co-pays and outstanding balances, maintain accurate balance sheets, assist with medical billing processes including basic ICD-10 and CPT coding, and may handle daily deposit responsibilities.
**Qualifications:**
+ High school diploma or equivalent required; post-secondary training in Medical Technology and Terminology preferred
+ Previous clerical experience in a medical or healthcare setting
+ Strong knowledge of medical terminology with accurate spelling and clear written communication skills
+ Demonstrated ability to handle multiple tasks and responsibilities under supervision
