Overview ROLE PURPOSE As part of the APEX Exchange team, the Media Coordinator plays a key support role, assisting in activation of day-to-day duties and account management of both offline and digital campaigns. As a valued member of the team, the Media Coordinator is responsible for driving and engaging internally within Publicis to ensure that activity is delivered to our client’s requirements in a timely manner. KEY OUTPUTS People and Team connection •Connect with and support the wider PMX team •Participate in ongoing APEX 101 educational sessions with agency teams •Participate in available training opportunities to further learning/ expand skillset •Complete all required self-service platform certifications (OOH, DV360, TTD, Yahoo) Product •Assist with the management, tracking and delivery of inventory – ensure 100% accuracy and where possible drive automation Client servicing / media partnerships •Build relationships with the agencies as a trusted partner •Liaise with agencies on brief related questions •Ensure ongoing, regular agency engagement •Provide education and support to agencies through the APX buying process •Support agency teams through planning, buying and invoicing where relevant Commercial / finance •Help deliver on APX targets by providing administrative assistance to the highest standard with a focus on efficiency and accuracy. •Deliver accurate and timely forecasting, commercial management, and input across all APEX activity, leveraging existing tracking platforms such as Salesforce •Ensure agency compliance with required documentation and system loading processes. •Follow up teams for MBAs •Keep folders and files up to date •Assist with management / update Active trackers •Create MBA Clauses, sign media contracts, submit tracker & align on spends with Active •Review feedback from agency teams on APEX & Active trackers and amend where applicable •Brief APEX finance on campaigns to create loading instructions •Review revenue recognition mapping with tracker & investigate discrepancies – ensure 100% accuracy •Investigate queries from APEX finance as requested, liaise with agency/APEX teams if required to provide feedback •Comply with commercial in confidence, agency and client information •Submit client lists of any new APEX clients monthly •Digital Benchmarking - data input from schedules executed monthly •Management of Pacing documentation - daily data entry and management, calling out when deliverables are not achieved. •Digital Managed service reconciliation •Reconciliation of biddable hybrid trading data input Operational •Work closely with Commercial and Operations APEX Director to ensure all processes end to end have been outlined and documented for offline/products •Contribute to ensure operational excellence – forecasting accuracy, revenue reconciliation, MBA requirements, billing process.
