Position Responsibilities:
Acts as a resource to system users for on-going questions and problem resolution. Provides support via the phone, email or by visiting users at their workstation.
Demonstrates proficiency in problem solving.
Reports application problems to the MMIS Manager and HIS department, as needed, and follows-up on the progress towards resolution. Makes every effort to internally resolve user problems with applications prior to reporting it to the Supply Chain Systems vendor support staff. Reinforces utilization of Supply Chain Systems. Assists in promoting the benefits of using the automated system by developing requisition templates and running reports as needed.
Provides training classes for appropriate Medical Center users on new applications. Develops documentation and manuals for users of Supply Chain Systems applications.
Assists in the development and maintenance of procedural documentation.
Recommends and helps implement changes to update and improve the function of the Supply Chain Services departments.
Serves as data systems liaison to various internal departments. Develops and modifies forms for data acquisition and user access requests as required. Participates on Medical Center committees as required.
Develops ad-hoc custom reports using various tools including but not limited to Crystal Report Writer, Monarch, Microsoft Access and Microsoft Excel, as needed.
Provides department managers, staff, consultants and vendors with available standard reports as directed.
Assists the MMIS Manager perform analysis and establish strategies for project design and implementation.
Maintains and updates the data in the main Supply Chain system item file and assists users in maintaining their inventory files.
Maintains and updates the Supply Chain system vendor files and associated EDISPEC files. Sets up Supply Chain vendors for EDI transactions, including purchase orders, order confirmations and sales catalogs and electronic invoicing.
Assists the MMIS Manager and the HIS department evaluate, implement and support the Supply Chain Systems software for the Medical Center.
Coordinates and assists with the implementation of new Supply Chain automated systems. Reviews software applications and documentation provided by the new system vendor as a member of the pre-implementation testing team.
Assists in the maintenance of system security and control processes.
Reviews bill-only's for accuracy and works with vendors and departments to ensure corrections are completed.
Assists in the development of contruct codes and ensures contract compliance.
Validates vendors are in compliance with bulk buys. Tracks cost avoidance savings identified and reports savings to management.
Monitors electronic data transfer errors and ensures data is updated to reflect accurate information to reduce future errors.
Serves as backup to the MMIS Manager to run the Supply Chain automated systems month end reports. Inputs results in reporting tools and communicates results to management and inventory teams as needed.Qualifications:
3 to 5 years' equivalent experience in business, healthcare, or related fieldHigh school diploma or equivalent required. College or business degree preferred or equivalent expertise is required.
Three to five years related healthcare experience., experience in computerized purchasing systems and data management.
Healthcare supply chain business procedures, creating/managing databases, creating/analyzing financial models using Excel or similar tools Skills as follows: Ability to clearly and effectively analyze data and communicate findings and recommendations to management/clinical staff and vendors, detail oriented, strong interpersonal/written/verbal communications, resourceful, problem solver, aptitude to learn and apply new software tools, ability to utilize publicly available sources/resources, ability to comprehend business process integration and communicate to supply chain staff, varying computer productivity applications, completes assignments expeditiously, takes initiative and proactive approach to all tasks, integrates team and work towards team goals, balances team and individual responsibilities, and supports supply chain management’s and clinical resource manager’s efforts.Benefits
