Job Summary:

The Product Operations Specialist is responsible for the accurate and timely management of various data and roster maintenance assignments for the Financial Advisor Websites and Locator. This role involves coordinating with internal teams and external partners to ensure data integrity and compliance with company standards. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

Regular Data / Roster Maintenance:

> Termination Report (Weekly): Identify Financial Advisors (FAs) who have left the firm to ensure their websites are removed or updated with the correct template.
> Graystone Roster Drop (Weekly): Update supplemental files based on business rosters, provide website access guidance, and send updated rosters to Yext.
> NMLS Roster Drop (Bimonthly): Process business rosters, coordinate with Yext, verify data accuracy, and report findings back to the business.
> Monthly Roster Drops: Manage GSE, Reinvestment, External Locator, and CRD roster updates, ensuring timely and accurate data transfer to Yext.
> Recruit Site Build (Weekly/Adhoc): Create websites for incoming recruits manually.
> Supplemental File Creation (Weekly/Adhoc): Update files via SharePoint and coordinate with Yext for new team site creation or FA additions.

Miscellaneous Tasks (As Needed):

> Triaging and troubleshooting incoming issues/escalations.
> VEA and regional RO access support.
> Adding Firm events and other ad hoc request on FA Websites.
> Failed Leads Remediation: Address failed leads by coordinating with Yext to correct and resubmit information.
> Manual Admin Access for Interns: Grant website access by updating entitlement files and coordinating with Yext.
> Entitlement Supplemental Management: Manually add and confirm website access for individuals not in auto feeds.
> EPR Entitlement Approvals: Manage approval processes for non-Advisors, ensuring compliance with group-specific checks.
> Responding to Negative Reviews: Collaborate with Risk Officers to guide Advisors on handling negative reviews.
> Rejecting Ownership of GMB Listings: Manage Google My Business listings for departed FAs, ensuring proper shutdown and ownership rejection.
> Reports and Trackers: Assist in refining process guides and documentation for manual data drops.
> Bulk Template Updates: Implement changes across multiple sites as needed. Qualifications:

Bachelor's degree in Business Administration, Marketing, Information Systems, or a related field.
Proven experience in data management or a similar role.
Strong proficiency in Microsoft Excel and SharePoint.
Excellent organizational and multitasking skills.
Strong communication skills, both written and verbal.
Ability to work independently and collaboratively in a team environment.
