Marketing Operations Associate

The Marketing Operations Associate is responsible for ensuring core Marketing process, structure, and key Marketing operational responsibilities are fulfilled for the department. This position is the primary liaison for Marketing issues and process updates for cross-functional operations partners such as Compliance, Legal, Audit, Risk, Sourcing, Digital, and Data and Analytics. The ideal candidate for this role demonstrates technical/domain expertise with strong leadership and communication skills. To be successful, the Marketing Operations Associate will be a change agent and collaborative problem solver, who balances goals and risks to create efficiencies for marketing and its partners.

Job Description

The Marketing Operations Associate ensures operational efficiencies, checks and balances, and improvements across the department, in partnership with Risk, Legal, and Compliance Marketing partners. The Marketing Operations Associate is responsible for four key areas:

1. Project Management oversight and support:

Project approvals: This includes reviewing requests for reasonable timelines and ensuring process best practices/learnings are appliedIssue escalation and resolutionCapacity and troubleshooting support for Marketing Program ManagersSourcing assistance with new vendor onboardingFirst line regulatory onboardingSupport Marketing Program Managers in the timely closure of projects, ensuring proper documentation

2. Legal, Risk, Compliance, Audit and Sourcing Liaison:

First line of defense oversight for control testing for marketingProcedure adherence and execution for marketing (all teams)Self identifies regulatory and conduct issues through Legal, Risk, and Compliance partners and Marketing leadership

3. Procedure and controls management:

Initiates and manages first line procedures for all marketing processes, ensuring updates are made when processes change.

4. Crisis communication triage

Works directly with the Marketing Crisis Communication, Social, Internal and External teams in the event of an incident to rally marketing resources and escalate urgency of execution and approvalsEnsures Risk, Legal, and Compliance Marketing partners are looped in on all issues immediately depending on the urgencyDocuments any Marketing operational issues related to an incidentBack up execution for Marketing Communications Team

5. Other Operational Duties

Manage Business Continuity documentation and Records Retention/DestructionManage Marketing Operations Sharepoint site and weekly newsletterPartner with customer advocacy team on customer complaint monitoring

Basic Qualifications:

Bachelor’s Degree1+ years of direct marketing and project management experience

Preferred Qualifications:

Experience in financial services and/or consumer goods marketingExperience managing agency and vendor relationshipsKnowledge of database and direct marketing principles including customer segmentation, testing and applying results to improve future campaignsMust be detail-oriented, with an analytical and financial orientationStrong relationship building skills with ability to collaborate effectively across broad stakeholder groupsExcellent written and oral communication skillsExperience managing complex, multi-channel marketing campaigns including mail, email and online channels and the ability to manage multiple projects concurrently
