Job Description Summary
The Marketing & Events Coordinator contributes to the operation of the Mallinckrodt Australia Head Office.This position plays a pivotal role in bridging the gap between strategic marketing initiatives and event execution in ensuring seamless coordination across events and conferences, that enhance the visibility and engagement with both internal and external stakeholders.
This role reports to the Marketing Manager and provides executive assistance to the Australian General Manager including general office duties.
Job Description
Key ResponsibilitiesThe responsibilities of the Marketing & Events Coordinator are as follows:
Marketing & Events Support:Responsible for organizing Internal business conferences held biannually: negotiate and secure appropriate venues including accommodation, meeting rooms, team building and restaurantsAssist with developing a calendar of third-party conferences and events aligned to business needs:Build strong relationship with conference organizers and additional stakeholders required to run eventsSecure events after internal approvalArrange hotels and restaurants for attendees during conferencesOrganise logistics of assets, device and materials to and from conference venue to ensure it arrives on time and that appropriate venue approvals/documents are submittedAssist with providing updates and detailed schedule to the team prior to all conferencesAssist with the development of our product Marketing Plan and implementing strategies and campaigns to support the company’s goalsLiaise with the Sales team in analysing performance of campaignsAssist with the development of new marketing collateral including overseeing promotional (PRC) approval process via Veeva Vault (i.e. submission/uploading digital assets)Maintaining stock levels of marketing materials and placing orders with creative agencies as neededManage Marketing Inventory Management System, tracking movement of all materials leaving the officeMaintain and update as needed the Marketing Inventory Request Form including digital collateral libraryAssistance with Internal compliance approval for Events (Medispend) – submitting entries for all conferences, events, and speaker meetings, and tracking the approval process from start to endProvide Tender submission administration support when neededAssist with preparing PowerPoint presentations as neededAdministrative Assistance Support for GM:Reconcile business expenses and submit on ConcurGeneral administration and executive assistance support as requiredSupport to Commercial Team:Assist with the preparation of hospital agreements with the Sales TeamsMaintain record of agreements alongside Finance TeamCourier marketing/training material to hospitals when requestedGeneral Office DutiesPurchase of kitchen supplies and business cards, in accordance with company purchasing policies and budgetary restrictionsOrganize office catering for team/client meetings as neededPrepare and maintain cleanliness of boardroomShared responsibility of incoming calls, greet guests in a professional manner including kitchen duties with other office-based team membersMaintain highly sensitive confidential information, files, and correspondenceEnsure adherence to safe office practiceMinimum RequirementsBusiness/Marketing or Events Management degree or diploma1-2+ years in a similar support roleDemonstrate ability to work with minimal supervision while achieving objectives and resolving issuesExpertise working with various business software programs including MS Word, Excel, PowerPoint, OutlookProfessional verbal and written communication skillsAbility to professionally interact with internal and external stakeholdersStrong organizational, administrative and time management skills, working well under pressure juggling many projectsAbility to perform detail-oriented tasks, with high attention to detail and accuracyAbility to operate in a lean, dynamic, matrix environmentPreference for experience working in highly regulated industry such as pharmaceutical or related health careOrganizational Relationship/Scope:This role will report directly to the Marketing Manager of Mallinckrodt Australia and will collaborate with various stakeholders across the global business including (but not limited to): sales, HR, IT, medical, market access and finance.
Working Conditions:Full Time Office based role currently based in Mallinckrodt office in Kew, Victoria.
