SUMMARY
JOB DUTIES
Manages office operations. Ensures office is neat and well organized. Coordinates daily office activities. Resolves customer service issues. Supervises maintenance and housekeeping of the department. Ensures patient insurance is accurate and kept up to date.
Supervises clerical staff. Coordinates and assists with orientation and training of staff. Supervises recruitment process as directed by manager. Provides input to manager regarding performance of staff. Provides guidance and direction in regard to time management and prioritizing of tasks. Works with Nurse Coordinator in maintaining optimal staffing levels and assuring that overtime is kept to a strict minimum.

Supervises scheduling. Coordinates and supervises scheduling at the front desk for patients and other services needed such as Physical Therapy, Psychology Services, Radiology Services, etc. Ensures accuracy of the scheduling done at the front desk. Ensures accuracy of the physician’s schedule as per their guidance of required treatment times. Assists in coordination of patient flow in the department to ensure a smooth transition of care.
Supervises accounting procedures. Ensures daily charges are accurate and coded properly, as well as, ensuring reimbursement for the billed coding is received appropriately. Ensures accurate coding through the use of resources such as Code Correct. Identifies appropriate procedure codes and billing policy and stays abreast of all the updates and changes in these. Resolves billing concerns/questions. Ensures logs are maintained for documentation of billing. Coordinates billing issues with the MMC patient accounts manager. Prepares and approves payroll per the manager's guidance. Assumes responsibility for department fiscal management through cost conscious use of supplies. Supervises purchasing / ordering supplies.
Supervises charting system. Ensures that all chart documentation is complete and timely. Ensures files are maintained in a neat and orderly fashion and needed information is available in the patient file. Performs periodic chart reviews.
Demonstrates the ability to set appropriate priorities. Plans daily activities to effectively utilize time. Sets priorities, meets deadlines.
Seeks guidance and direction as appropriate. Functions autonomously to the extent that knowledge, skills, and role permit. Consults with Manager as needed.

Ability to communicate and serves as a liaison between patient's family and services needed. Is perceptive to the impact of changing life roles. Considers limitation of patient and takes measures to protect them. Utilizes appropriate hand out materials for reinforcement. Involves both patient and caregivers to be included in care. Consults Social Services for questions concerning home care, if applicable.
Knowledgeable of importance of patient safety assessment. Is aware of the responsibility and mechanism to report abuse specific to this age group which may include financial as well as physical abuse.

Accommodation: Occasionally - Adjustment of lens of eye to bring an object into sharp focus. This factor is required when doing near point work at varying distances from the eye.

MINIMUM EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
Minimum high school education required.
Professional knowledge of business and management theory and practice at a level normally acquired through completion of an associate degree or equivalent.
Computer skills are required. Experience with Microsoft office required.
Minimum two years progressively responsible management experience in healthcare or customer -oriented service industry.
Verbal and written skills necessary to effectively communicate with various members of the health care teams, other health care facilities, community health related organizations, various external parties and regulatory agencies.
Ability to manage numerous management issues. Must be able to use the following management accountabilities and competencies: conflict resolution, staff counseling, problem solving, disciplinary process, policy and procedures implementation, teamwork, staff scheduling, interviewing, budgeting process, cost containment skills and support of management peers.
BLS required.
WORKING CONDITIONS
Normal patient care environment with little exposure to excessive noise, dust, and temperature changes. A large part of work time is sitting.
Subject to certain distasteful patient care activities and exposure to communicable diseases.
Normal working hours of day shift.
May be exposed to potential hazards such as chemical wastes, body wastes, fluids and other possible infectious material.
