Manager of Volunteers

I. PRIMARY FUNCTION/GENERAL PURPOSE OF POSITION:
Provides support to the Volunteer Director in all aspects of the Volunteer Services Department with a focus on recognition and special events. Provides assistance with special programs and projects that coordinate with the volunteer department. This position acts as a liaison between various hospital departments and volunteers. Duties include supervision of 300+ volunteers and assuring continuous quality improvement in areas of responsibility. Other essential aspects include, but are not limited to, recruiting, interviewing, training, scheduling, orientation and reorientation of all volunteers.
II. EMPLOYMENT QUALIFICATIONS:
1. Previous work experience and/or training in a volunteer organization is desirable.
2. Previous customer service experience with exposure to a variety of customers is required.
3. Ability to work independently with little supervision.
4. Ability to plan and coordinate special events for 12 to over 300 participants to include social gatherings, retreats, conferences and recognition events.
5. Analytical thinking combined with creativity in order to improve existing programs and special events as well as develop new programs.
6. Familiarity with office technology and equipment, with an emphasis on personal computers and software.
7. Communication and training skills to effectively train and manage large groups of people.
III. ESSENTIAL JOB FUNCTIONS:
Functions of this job may include but are not limited to the following:
1. Prepares recruiting packets. Plans and participates in Open
Houses/Fairs.
2. Screens, interviews, and selects prospective volunteers. Develops
volunteer position descriptions.
3. Delivers orientation and re-orientation programs for all volunteers.
4. Develops training materials for each volunteer placement and
assists with continual training for all volunteer positions.
5. Ensures that current volunteer placements are functioning with expected
excellence. Makes assignments based on department strengths as well as hospital need.
6. Provide regular events/activities throughout the year to reward and recognize volunteers.
7. Participate in the planning and implementation of activities during National Volunteer Week and at the Volunteer Awards Ceremony.
8. Develops new programs, projects and volunteer opportunities for the department in the area of continuous quality improvement.
9. Maintain and update files on all volunteers, as well as purge and / or store all inactive volunteer files. Maintains volunteer database.
10. Schedule and coordinate volunteer assignments to ensure volunteer
coverage up to seven days a week and up to 12 hours a day.
11. Maintains inventory for department supplies.
12. Monitor volunteer performance through staff evaluations and personal
observation and counsel/coach volunteers as necessary
IV. OTHER FUNCTIONS
1. Supervise Volunteer Services Department in absence of its Director.
2. Assist in the acknowledgment of all donations to the department.
V. WORKING CONDITIONS
Normal office environment with little or not exposure to excessive noise, dust, temperature and the like.
