Manager (f/m/d) Sync Licensing Administration

BMG Sync Licensing is responsible for handling all inbound synchronization requests from third party sync clients across all visual media including (but not limited to) Advertising, Film, Television, Video Games and Promos/Trailers. This is a fast-paced and dynamic team whose clientele includes film/tv studios, ad agencies, networks, production companies, video game developers, trailer houses, merch companies, law firms, music clearance houses, live stage theatrical production companies and more.

 

As a member of the Licensing Administration team, you would be responsible for various admin tasks involved in the successful preparation, issuance and closure of the sync licensing and payment process. In this role, your are responsible for closing out and wrapping up the sync licensing process, which involves preparing and issuing long-form synchronization license agreements and invoices, negotiating language issues within the licenses to BMG's standards/guidelines, collecting sync fee payments, and executing agreements, along with other department duties as appropriate.

 

What you'll be doing 

Efficiently issue licenses, amendments, addendums, and invoices, ensuring alignment from quote to confirmation
Manage the administrative processing of bringing sync license requests to closure including, but not limited to, film, television, advertising, corporate, video games, print, grand rights, trailers, and online
Respond to Licensees' revision requests in a timely, thorough, and effective manner, while following legal and template guidelines Diligently follow up on sync license fee payments, handling any additional vendor forms or POs to ensure timely receipt of payments. Document all processes and coordinate with other departments as needed Direct liaison with sync accounts receivable, finance and/or income tracking on past due receivables, items for collections, and thorough note taking for entire process Obtaining fully executed license agreements and bring process to closure, making sure documentation is clearly accessible to all who review the entry
Cross-collaboration with Clearance/Negotiation team to ensure long-form agreement language and grant of rights are in line with quoted/approved language at Clearance stage Additional tasks as appropriate, including but not limited to oversight and/or facilitation of licensing admin reports and resources (e.g., weekly assignment reports, client list management, internal/external audits, template management, language and canned replies documentation, sync income tracking and recovery, systems training documentation, knowledge sharing initiatives, etc.)

 

What you bring 

Successfully completed a commercial or comparable education with experience in the music or media industry, ideally in the field of (music) licensing Knowledgeable and experienced with the license issuance process, including legal language, and ability to negotiate/respond appropriately and efficiently to license revision requests General knowledge of copyright laws and/or local societies Strong communication and coordination skills with internal and external partners, along with close collaboration with international Sync colleagues and with the ability to manage key information upward and outward Proficient in German and English (written and spoken) Team-oriented and thrives in a collaborative, productive environment Proficient in MS Office programs A well-structured, precise, and solution-oriented working style Service-oriented, conscientious, and possesses a friendly and confident demeanor Ability to multi-task effectively and work with relative autonomy
