Job Summary:
The Vendor Management Specialist is responsible for providing technical expertise and support to ensure that vendor management processes and activities meet standards, along with providing strategic procurement category management support for the IT category. This role involves sourcing, negotiations, contract management, cost and working capital optimization, conducting vendor analyses, performing data analysis, and developing and implementing vendor management plans. The Vendor Management Specialist works closely with cross-functional teams to address vendor issues, perform root cause analysis, and implement corrective actions. Additionally, this role involves training and mentoring vendor management staff and supporting continuous improvement initiatives.
Responsibilities:
Vendor Onboarding
• Identify potential vendors
• Conduct due diligence on potential vendors
• Negotiate contracts and pricing
• Coordinate vendor onboarding process
• Ensure compliance with company policies and procedures
Vendor Relationship Management
• Develop and maintain positive relationships with vendors
• Monitor vendor performance and provide feedback
• Address and resolve any issues or concerns with vendors
• Conduct vendor performance evaluations
• Review and renew vendor contracts as needed
Vendor Risk Management
• Conduct risk assessments for new and existing vendors
• Implement risk mitigation strategies
• Monitor and report on vendor risk levels
• Ensure vendors comply with security and compliance standards
• Conduct regular audits of vendor processes
Budget Management
• Track vendor expenses and forecast future costs
• Identify areas for cost savings and negotiate with vendors
• Work with finance department to ensure budget compliance
• Review and approve vendor invoices
Process Improvement
• Identify opportunities for process improvement in vendor management
• Implement new processes and procedures to increase efficiency
• Train and educate team members on new processes
• Regularly review and assess the effectiveness of current processes
Cross-Functional Collaboration
• Collaborate with other departments to identify vendor needs
• Communicate and coordinate with other teams on vendor-related projects
• Participate in cross-functional meetings to discuss vendor management strategies
• Share knowledge and best practices with other teams
Data Management
• Maintain accurate and up-to-date records of vendor information
• Utilize vendor management software to track and organize data
• Create reports and analyze data to make informed decisions
• Ensure data confidentiality and security measures are in place
Continuous Learning
• Stay updated on industry trends and best practices in vendor management
• Attend conferences and training to enhance skills and knowledge
• Share new information and ideas with team members

Qualifications:
• Bachelor’s in Business Administration, Supply Chain Management, or related field with at least 10 years experience or equivalent work experience that provides exposure to fundamental theories, principles, and concepts.
• Strong analytical skills and proficiency in data analysis tools (e.g., Excel, SQL).
• In-depth understanding of inventory management principles and practices.
• Experience with conducting inventory audits and implementing process improvements.
• Proficiency in inventory management software and systems.
• Ability to work collaboratively with other departments to resolve inventory issues
• Proven ability to influence and drive change across various levels of the organization.
• Exceptional communication skills, both verbal and written, to effectively convey complex information to stakeholders.
• Solid project management skills, including the ability to manage multiple projects simultaneously and meet deadlines.
