About the Job:

 

The Maintenance Specialist will be responsible for managing work orders for Maintenance trades and Special Projects/Program Rollouts. In addition to work order management, they will be responsible for Field support, Fixture Disposal, New Store openings, Store lighting, Utility Account Management for new and existing stores, service around management, disaster relief, Insurance/warranty claims, Store Closing, reviewing and approving proposals and invoices, maintaining reports including Field offices and Equipment records and the updating portal with such information.

 

A day in the life, what you’ll be doing:

 

· Directs, organizes and provides support to maintenance vendors.

· Assists in the development and implementation of departmental goals and objectives.

· Follow up on the daily activities of maintenance techs and communicates with other departments on impact of those activities.

· Reviews Vendor quotes for multiple trades and makes recommendations.

· Evaluates and recommends actions regarding vendor performance, allocation of trades/stores and initial vendor scorecard review.

· Manages the issuing of requisitions for the purchase of supplies, equipment and services.

· Maintains a variety of paper and electronic records including equipment lists, branded fixtures and construction handoff to repairs & maintenance.

· Available to receive calls, emails and review work after hours or on weekends/holiday if needed for emergency support.

· Create, manage, file and monitor cost tracking documents including purchase orders.

· Set up, organize and maintain all job files both paper and electronic.

· Assist in obtaining all closeout packages to support warranty and the repairs and maintenance Handoff.

· Assist in managing, monitoring and expediting contractor and vendor payments through final pay-out.

· Monitor expiration of all contractor and vendor insurance certificates

· Manage, update and distribute the construction schedule and special project report.

· Manage special projects, as required.

· Create and manage standard operating procedures with vendors.

· Work with store teams to review and update policies as needed to support long-term maintenance of store systems.

 

What it takes to Join:

· Four-years of experience in Construction or Project Management.

· BA degree preferred

· Proficiency in Microsoft Excel, Word and PowerPoint.

· Proficiency in Access preferred.

· Excellent communication skills.

· Ability to work well with others.

· Principles, methods, materials and equipment used in the maintenance of facilities.

· Principles, methods and practices relating to efficient operation of a building maintenance program; techniques, methods, services, tools and materials of building construction, maintenance and operation.

· Principles and practices of project management, administrative analysis, report preparation, including budgeting, purchasing and scope definition.

· Techniques for dealing with representatives of other Departments and resolving problems tactfully and effectively.

· Basic construction skills and techniques.

· Program and project management, including accepted procedures for monitoring expenditures, program status and contractor performance.

· Knowledge of Service Portals such as Service Channel, Big Sky, etc.

Ability to:

· Read and interpret construction plans, specifications and related documents; estimate labor and material costs for projects.

· Take a proactive approach to customer service issues.

· Troubleshoot problems and determine materials and supplies required for maintenance, repair and special projects.

· Provide appropriate advice and assistance on problems to obtain effective results.

· Keep accurate records.

· Prepare complex reports and analyses; prepare clear, concise and complete written reports.

· Organize own work, set priorities, meet critical deadlines and follow-up on assignments with a minimum of direction.

· Effectively oversee and coordinate a variety of projects.

· Exercise a high degree of interpersonal skills in dealing with a variety of managers and support staff.

 

Salary Range: $60,388-$74,477

· Ability to work in open environment with fluctuating temperatures and standard lighting.

· Ability to work on computer and mobile phone for multiple hours; with frequent interruptions.

· Required to travel in elevator or stairwells to attend meetings and engage with associates on multiple floors throughout building.

· Hotel, Airplane, and Car Travel may be required.

 

Position Type/Expected Hours of Work:

 

This is a full-time position. As a National Retailer, occasional evening and/or weekend work may be required during periods of high volume. This role operates in a professional office environment and routinely uses standard office equipment.
