Description We are looking for a dedicated Mailroom Support team member to join our team on a contract basis in Los Angeles, California. In this role, you will provide essential administrative assistance to the External Affairs team, ensuring smooth operations and contributing to outreach, advocacy, and fundraising initiatives. This position is ideal for someone who is meticulous, proactive, and skilled in communication and organization. Responsibilities: • Offer comprehensive administrative support to the External Affairs team, including scheduling meetings, drafting correspondence, and maintaining accurate records. • Assist in organizing and executing external events such as fundraisers, community programs, and stakeholder meetings. • Support donor relations by preparing thank-you letters, tracking contributions, and updating donor databases. • Conduct research on policy matters, funding opportunities, and community partnerships to enhance advocacy efforts. • Help create reports, presentations, and communication materials for external affairs purposes. • Update and monitor social media platforms and website content relevant to external affairs activities. • Track and manage expenses related to external affairs projects, ensuring adherence to organizational guidelines. • Maintain organized files and records for all external affairs initiatives and projects. • Perform additional administrative duties as needed to support the External Affairs team. Requirements • Associate's or Bachelor’s degree in Public Relations, Communications, Business Administration, Nonprofit Management, or a related field is preferred. • At least 2 years of administrative experience, ideally in nonprofit, advocacy, or external affairs roles. • Exceptional organizational skills with the ability to handle multiple tasks efficiently and with attention to detail. • Strong verbal and written communication abilities. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and donor management systems. • Familiarity with managing social media accounts and website content is an advantage. • Ability to work both independently and collaboratively in a dynamic, fast-paced environment. • Commitment to the values and mission of the nonprofit sector.
