What this job involves:
As a Mail and Supplies Specialist at JLL, you'll be the operational backbone of our client's mail services, ensuring seamless handling of all incoming and outgoing communications while maintaining optimal inventory of supplies. Working within our Integrated Facility Management business line, you'll coordinate mail handling across buildings, manage courier relationships, and serve as a critical customer service ambassador. This role offers the opportunity to directly impact daily business operations while contributing to JLL's reputation for delivering exceptional facility management services that help our clients achieve their ambitions.
What your day-to-day will look like:
Manage all incoming and outgoing mail and courier services, ensuring timely processing and accurate deliveryCoordinate with courier partners (DHL, POST, Securitas, S&S, etc.) to maintain excellence of service deliveryMonitor and maintain mail consumables stock according to agreed par-stock levelsHandle and update daily Trouble Ticket requests at least twice daily to ensure prompt resolutionProvide reception coverage when required, serving as an ambassador for JLL's Integrated Facilities Management programAttend weekly catch-up meetings with Office Services Coordinator and Facilities ManagerMaintain frequent communication with key business partners to understand and meet their departmental mail requirementsRequired Qualifications:
Experience in hospitality industry or customer service roleExcellent verbal and written communication skillsProficiency with Microsoft Office tools (Outlook, Word, Excel)Strong problem-solving abilities with attention to detailGood organizational skills and ability to prioritize tasksFluency in English and local languageStrong customer focus with professional demeanorPreferred Qualifications:
Previous experience in mail room operations or office servicesKnowledge of courier services and shipping proceduresExperience with trouble ticket systems or service request platformsUnderstanding of inventory management principlesAbility to suggest process improvements and efficiency solutionsFamiliarity with reception duties and front desk operationsExperience working in a corporate office environmentLocation: Onsite
