Mail Room & Workplace Coordinator

The Mail Room/Workplace Coordinator ensures efficient and organized mail operations and supports various facility-related tasks. This position involves overseeing the day-to-day operations of the mail room, managing incoming and outgoing mail, coordinating facility maintenance activities, and providing excellent customer service to internal employees and external stakeholders. The Mail Room/Facilities Coordinator maintains a safe and functional workspace environment while effectively managing mail distribution and other related administrative tasks.

Key Responsibilities:

Mail Management:

Receive, sort, and distribute incoming mail and packages to the appropriate recipients or departments.Prepare outgoing mail and packages for shipment, including arranging couriers and coordinating mail delivery services.Maintain accurate records of incoming and outgoing mail, tracking packages and ensuring timely delivery.

Facility Coordination:

Manage office facilities, including maintenance, warranties, repairs, and renovationsCoordinate with vendors and service providers for office supplies, equipment, and services (soft and hard)Oversee office space planning and allocation.Support and coordinate meeting and events coordination with internal and external visitors.Maintain inventory of office supplies and equipmentAssist with onboarding new employees and managing workplace technologyEnsure compliance with health and safety regulationsHandle employee inquiries and requests related to workplace mattersImplement and maintain office policies and proceduresManage mail and courier servicesAssist with budget preparation and expense tracking for office-related items

Requirements:

Bachelor's degree in Business Administration, hospitality management, Facility ManagementMinimum B2 English Level3-5 years of experience in workplaces management or similar roleStrong organizational and multitasking skillsExcellent communication and interpersonal skillsAdvanced in Microsoft OfficeSuite Knowledge of office management systems and proceduresProblem-solving and decision-making abilitiesAbility to work independently and as part of a teamAttention to detail and accuracy

Preferred Qualifications:

Experience with facilities management software as CorrigoKnowledge of health and safety regulationsProject management skillsScrum Agile Certification is a plusFamiliarity with procurement processes
