Logistics & Distribution Specialist

Job Description

We are seeking a dedicated Logistics & Distribution Specialist to join our dynamic Supply Chain and Logistics team. This role is pivotal in ensuring seamless logistics operations and exceptional customer service by managing demand planning, material procurement, production planning, inventory control, vendor coordination, and distribution.

As a Logistics & Distribution Specialist, you will focus on optimizing the movement of materials through various production processes and systems, managing sales order processing, documentation, invoicing, and continuous improvement initiatives to enhance logistics and customer service experiences.

Key Responsibilities:

Demand Planning

Monitor outbound and domestic replenishment deliveries to maintain optimal stock levels.Communicate market changes and collaborate on mitigation plans to prevent stockouts.Provide insights during monthly Sales & Operations Planning (S&OP) meetings.

Supply Planning & Stock Management

Track stock levels, expiry dates, and manage fill-up orders for manual products.Prepare stock movements and verify shipping documents, including certificates and invoices.Collaborate with the L&D team on local stock management.

3PL Management

Promote best practices and maintain effective communication with warehouses.Manage shipment documentation and resolve delivery incidents (under/over-delivery, damages).Participate in stock-taking activities and verify third-party logistics invoices.

Reporting

Submit regular reports on goods flow, inventory status, and sales metrics.Support stakeholders with logistics insights to aid decision-making.Manage year-end data submissions to Finance.

Customer Support

Provide timely sales information and order support to customers.Process customer orders, prepare shipping documents, and issue order confirmations.Handle customer complaints (non-active ingredient related) and manage tender and promotion administration.Archive commercial agreements and calculate returns/paybacks.Issue all sales documents including invoices and credit notes.

Systems & Continuous Improvement

Maintain expertise in logistics and distribution processes, promoting knowledge sharing.Create and maintain customer accounts.Identify and implement process improvements to enhance efficiency and productivity.Achieve individual development goals.

Compliance

Ensure all activities comply with company policies, code of conduct, and vendor management standards.

Qualifications:

Bachelor’s or Master’s degree or equivalent relevant experience.Minimum 2 years of experience in a similar role within a multinational company.Proficient in English (written and verbal).Advanced MS Office skills, especially Excel; SAP knowledge is a plus.Strong analytical, organizational, and priority management skills.Self-motivated learner and team player with excellent communication skills.Initiative-driven with the ability to coordinate projects and activities independently.
