Logistic Deptartment Assistant
**PURPOSE/OBJECTIVE** **:** Under direction of the Operations Officer, oversees and performs various duties necessary to process internal, external and overnight mail in a productive and efficient manner. Lead mailroom staff on a daily basis to ensure operating and quality standards are met based on service objectives. **MAJOR RESPONSIBILITIES** **:** + Execute mail room processes which include but are not limited to overnight packages including tracking, United States Post Office/Internal mail, sorting and delivery. + Responsible for the overnight process and ensures all packages are tracked and delivered per procedure and signed contracts. Responsible for office supplies and paper deliveries completion weekly. Responsible for monitoring issues with the courier vendors and Retail Administration/term Processing, if delivery issues arise, communicating with Logistic Management all issues to find solutions for the problems. Manages special courier run process. + Responsible for records destruction process according to the Records Retention Policy which would include obtaining, preparing and distributing reports to departments for review and approval for destruction. Ensure that all department authorizations are obtained according to the Records Retention Policy. Provides Record Destruction vendor with authorized destruction report. Responsible for obtaining Certificate of Destruction and maintaining it on file per Records Retention Policy. + Responsible for ensuring that all invoices are submitted for payment. Verifying all recurring payments are allocated correctly and research issues for resolution. Responsible for maintaining monthly reporting of documentation on incoming and outgoing mail for the Operations Manager. + Assist Logistic Team with many functions and projects, which include but not limited to providing coverage to Internal courier routes, mailroom, projects and special errands as needed. **PROBLEM SOLVING & DECISION MAKING** **:** + Solves routine day-to-day mail service issues, bringing to management’s attention any major issues promptly. + Professionally communicate with internal/external customers and vendors, solving issues as needed. + Resolves issues with invoicing by contacting vendors as necessary. + Tracks all UPS and USPS mail when there are shipping issues and helps resolve them as needed. **REQUIREMENTS** **:** **Education and Experience** + Completion of high school degree or equivalent + Requires a valid Driver’s License and a good driving record. **Skills/Knowledge** + Computer skills required with Microsoft Office knowledge + Strong attention to detail to achieve highest levels of quality service + Maintains strong organizational skills with the ability to excel in a fast-paced environment in order to handle multiple tasks + Must have strong communication skills both written and verbal + Ability to effectively work individually or in a team environment **Working Conditions** + Ability to work in a team concept + Ability to stand for long periods of time + Moderate physical requirements with ability to lift up to 50 pounds At Eastern Bank, we pride ourselves on supporting our employees by offering tremendous opportunity for individual growth.
