Paralegal and Team Adminstrator
The Aon Law team provides advice, counsel and support to a number of Aon’s businesses (mainly its UK-based (re)insurance broking and consultancy activities). The team exists to help these businesses protect and exploit their assets in a manner that is consistent with the expectations of our various stakeholders (including our regulators). Our team is based in London, Warsaw, Cracow, Manchester and Dublin.
This is a hybrid role that requires working from our Warsaw office at least 2 times a week.

What the day will look like
Together with our existing Poland-based team administrators, you will:
+ Enter data manually into our matter management system, opening and closing matters and running reports;
+ Connect with Spend Management to process invoices from external law firms and other third-party service providers;
+ Support the lawyers with workload management;
+ Manage diaries and arrange meetings and facilities for lawyers;
+ Process expenses for the lawyers;
+ Arrange travel;
+ Respond to general administrative queries;
+ Format, edit and amend Word, Powerpoint and Excel documents, and
+ Work flexibly to undertake all tasks of an administrative nature that are referred to you by your manager.
More generally, in fulfilling your role you will be responsible for working in accordance with the Aon UK Limited Risk Management Framework and compliance with the Aon UK Limited policies, including participation in the management of risks (including completion of mandatory training) that may adversely affect the business, interests or reputation of any group company. You will be working with English language most of the time so good English skills is crucial requirement.
Skills and experience that will lead to success
As an Administrative Assistant, your skills and qualifications will be wide ranging. Your attributes will include:
+ English level – B2+/C1 minimum (written and spoken)
+ Responsible approach and great ethics – as you will work with privileged and confidential matters
+ Advanced organizational skills and detail-oriented
+ Team-oriented approach and cooperative spirit
+ Ability to work on own initiative with little supervision
+ Computer savvy (advanced skills in Excel, Word, PowerPoint and others) – ability to quickly learn new software applications and to educate others in them
+ Effective communication skills
+ 12 months experience in general administration would be an asset
+ Experience of working in an international environment would be an asset
+ Knowledge of Polish language is not required.
