Position Overview:
 

This is a key role within Global Business Services [GBS], providing strategic finance support to the accountable legal function owners in managing the external vendor relationships for the Legal function (including Legal, Compliance, Company Secretariat, Data Privacy and IP) globally, including by managing and monitoring the associated costs and budget. The Gatekeeper role will support Indirect Purchasing Team Leader delivering excellence by providing quality support to our stakeholders, driving compliance and setting the standard for accuracy and governance whilst ensuring quality, cost competitiveness, compliance and company purchasing guidance.

 

Key Responsibilities:
 

As a Legal Operations Support Associate in our Global Business Services Centre in Lisbon, you will play a key role in managing external vendor relationships and departmental budget and driving compliance and setting the standard for accuracy and governance within the Legal department, under the accountability of the General Counsel and their functional leaders. You will support the Legal Operations and Indirect Purchasing functions by delivering high-quality service to internal stakeholders, ensuring adherence to company policies, and promoting best practices across legal and financial processes.

 

Your key responsibilities will include:

 

Catalogue and Contract Support: Assist in the development and maintenance of legal service catalogues aligned with supplier contracts and internal purchasing policies.

Process Oversight: Understand and support the end-to-end legal purchasing process—including requisitions, purchase orders, invoice reconciliation, and contract management—while identifying opportunities for simplification and improvement.

Vendor Governance: Manage global controls for vendor changes, including bank account verification, ensuring compliance with internal policies and procedures.

Stakeholder Engagement: Promote purchasing and legal operations best practices to internal stakeholders (including the General Counsel, the Legal leadership team and their reports), ensuring alignment with the Preferred Supplier List (PSL) and company standards.

Vendor Onboarding and Management: Support the engagement and ongoing relationship with Vendors. Review and validate new vendor requests, ensuring accuracy and compliance with governance frameworks.

Customer Satisfaction: Contribute to stakeholder satisfaction through timely support, responsiveness, and adherence to service level expectations (e.g., KPIs and surveys).

 

In this role you will be collaborating with various stakeholders such as the Global Procurement, Legal and Business Stakeholders, suppliers and Finance Department across the business including our other GBS teams in Kuala Lumpur and Bogota, CoE’s as well as our Corporate, Commercial and Market teams. 

 

You will be supporting markets in multiple time zones and some flexibility around working hours will be needed. 

 

Skills & Experience:

Strong understanding of procurement and financial processes, including requisitions, purchase orders, invoice reconciliation, and vendor onboarding.

Excellent attention to detail and a commitment to accuracy, particularly in compliance and governance-related tasks

Effective communication and interpersonal skills, with the ability to collaborate across global teams and time zones.

Customer-focused approach, ensuring high levels of stakeholder satisfaction (across internal stakeholders and external vendors) and service delivery.

Organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.


 

Qualifications/Education:

Finance, Law or Business Administration qualification is preferred

SAP Experience 1-2 years

Previous Experience in SSC (not mandatory)

Proficiency in Microsoft Suite and ERP systems (SAP)

Fluent Portuguese and English – Additional Languages can be a plus.

Travel Requirements

Position may involve travel 0-5% of the time, but overseas travel can be also expected. Most trips will include overnight travel

Hybrid working – 1 day per week in the office – adaptable as Business requirements

Occasional requirement to work on bank holidays as per Group Reporting Calendar
