Description Job Summary: Our client is seeking an experienced and detail-oriented Legal Billing Analyst to join their team on a contract-to-hire basis. This role requires a detail oriented with a minimum of five years of legal billing experience who thrives in a virtual environment. The successful candidate will have a proven track record in handling complex legal billing operations, driving accuracy and efficiency throughout the billing cycle, and collaborating effectively with internal and external stakeholders.
Key Responsibilities Full-Cycle Legal Billing Management: Oversee the end-to-end legal billing process, including preparation, submission, and follow-up of invoices with a focus on precision and timeliness. Ensure all client invoices are prepared in alignment with individual customer requirements, firm policies, and regulatory standards. Utilization of eBilling Platforms: Leverage eBilling systems (e.g., Legal Tracker, Serengeti, Aderant, or other similar platforms) to submit and monitor client invoices. Troubleshoot and resolve system-related issues, ensuring prompt resolution of any discrepancies. Custom Compliance with Billing Guidelines: Customize invoices to meet client-specific billing guidelines, ensuring compliance with ABA codes, legal policies, and required formats (e.g., LEDES). Maintain knowledge of evolving legal billing standards to keep the billing process compliant and efficient. Dispute Resolution and Account Reconciliation: Reconcile financial accounts and research billing issues, ensuring disputes are resolved in a timely and detail oriented manner. Collaborate with attorneys and clients to address payment inconsistencies and ensure smooth communication and resolution. Reporting and Financial Analysis: Generate and review detailed billing and financial reports, providing data-driven insights to support decision-making and operational planning. Identify trends or inefficiencies in the billing process and offer actionable recommendations for improvement. Client and Internal Relationship Management: Serve as a point of contact for inquiries related to billing and ensure that client billing expectations are consistently met or exceeded. Partner with the legal team to maintain a thorough understanding of firm policies and procedures while delivering outstanding service. Process Improvement Initiatives: Regularly monitor and assess current billing workflows, implementing adjustments to improve efficiency, accuracy, and compliance. Proactively contribute to process enhancement strategies that benefit both the organization and its clients. Requirements Qualifications and Preferred Skills Education & Experience: Minimum of five years of legal billing experience in a law firm or corporate legal department. Proven expertise in operating eBilling software platforms (e.g., Legal Tracker, Elite, Serengeti, or similar tools) and implementing ABA guidelines. Technical Skills: Familiarity with LEDES billing formats and working knowledge of eBilling systems. Proficiency with Microsoft Office Suite, particularly Excel, for financial reporting and reconciliation tasks. Core Competencies: Exceptional attention to detail and commitment to accuracy, especially in handling large volumes of invoices. Strong problem-solving and organizational skills, with the ability to prioritize complex tasks in a fast-paced and deadline-driven environment. Exceptional written and verbal communication skills to liaise effectively with clients, attorneys, and internal team members. Preferred Qualifications: Knowledge of legal industry billing policies and trends, including a thorough understanding of ABA codes and compliance requirements. A track record of identifying inefficiencies and driving improvements in the billing process.
