Legal Administrative Assistant – Litigation Support
System One is partnering with a client seeking a detail-oriented and tech-savvy Legal Administrative Assistant to join their litigation team. This role supports attorneys and legal staff by managing legal documentation, maintaining dockets and calendars, and performing a variety of administrative and clerical functions to ensure smooth case management and daily operations.
Key Responsibilities:
Review, catalog, and docket incoming legal documents daily
Maintain and update calendars, schedules, and case dockets
Format legal documents using Microsoft Office tools and Outlook
Organize and set up new case files (up to 2–3 new files per week), ensuring all startup steps are completed per checklist
Use cloud-based document management tools (e.g., Cosmolex by ProfitSolv) for file organization and case tracking
Process vendor invoices and coordinate with clients, insurance representatives, and billing team
Make and receive administrative and clerical phone calls, including: Scheduling court reporters Communicating with judicial support staff Coordinating with vendors Responding to client requests for information Conduct public records and social media searches to identify case-relevant information and summarize findings verballyProvide general team support including:
Covering the reception area during breaks or lunch
Assisting with courier runs to courthouses or other locations (IRS mileage reimbursed)Qualifications:
Strong organizational and multitasking skills with attention to detailProficiency in Microsoft Outlook, Word, and Excel
Experience using cloud-based document management systems; familiarity with Cosmolex preferred
Excellent communication skills—both written and verbal
Ability to manage sensitive and confidential information professionally
Previous legal or administrative experience preferred
Valid driver’s license required for occasional errands or courthouse runs
