General Summary of Position Responsibility:
This position assists the Manager, Administrative and Legal Operations, Associate General Counsel, and all other attorneys in the Legal Department by performing a variety of duties requiring high-level administrative skills, including the ability to assist with conducting appropriate research, drafting client-facing materials, utilizing strong interpersonal skills, allowing the Assistant to engage with individuals of all levels throughout the organization. This position requires interaction with other senior staff and their administrative assistants, and the handling of confidential or sensitive material. This position also supports the Contract Services team within the Legal Department by performing a variety of administrative tasks and management of databases.
Essential Job Functions:Opens and routes incoming mail for Legal Services Department.Fields telephone calls and emails on behalf of the Department and greets visitors.Manages calendars, including coordination and scheduling of meetings.Organizes and maintains legal (paper and electronic) files.Manages the Legal Services and Contract Services inbox and routes questions to appropriate parties.Assists in the management of Contract Services databases, including but not limited to the maintenance of Symplr and DocuSign.Administers the recruiting, onboarding, and offboarding of the Legal Services Extern each spring, summer, and fall semester.Routes Physician Agreements, Amendments, and confidential agreements for signature in a timely manner.Performs legal research, certain contract review, and appropriate drafting of correspondence, memos, reports and other documents on behalf of the Legal Department.Prepares and processes check requests, expense reports, and purchase order requisitions for Legal Services department.Knowledge, Skills and Abilities:High School Diploma or equivalent required. College degree or equivalent, paralegal or other legal training is preferred.A minimum of five years of administrative assistant experience is required; experience supporting attorneys is preferred.Strong proficiency in Microsoft products, including Word, Excel and PowerPoint required.Adept in creating complex documents, presentations, spreadsheets, reports, and business correspondence.Proactive thinker; ability to anticipate and prepare ahead of need.The ability to communicate effectively with a range of staff, including but not limited to Chiefs, managers, administrators, other administrative assistants, and physicians is required.Experience with legal and business filings with governmental agencies preferred.Education
