**Purpose**
Support the Legal Department of the Company with a variety of administrative and clerical tasks to advance the Company’s business operations.
**Responsibilities**
**Leadership and Direction**
+ Perform work under moderate supervision. Receive direction on moderately complex assignments, tasks, and execution. Work is frequently reviewed by more senior staff to ensure application of sound techniques and principles. Review work produced by junior staff for quality assurance.
**At the Operational and Company Level**
+ Work efficiently with members of the legal department, including numerous lawyers and members of the safety team to drive progress on corporate projects.
+ Act as a point of contact for internal and external stakeholders, ensuring smooth daily operations and supporting members of the department.
**Do the Work**
+ Draft, edit and proofread correspondence, presentations and other documents as needed.
+ Organize and maintain digital and physical files in compliance with current policies.
+ Review and route incoming mail. Prepare and process outgoing mail and faxes, arranging for specialized mail or messenger services, as required.
+ Assist with automation, tracking and monitoring of budgets, documents and safety and compliance training.
+ Identify documentation gaps and follow up with staff members to obtain missing information related to safety, compliance and professional licensing.
+ Coordinate check requests and client billing matters with accounting.
+ Conducting basic research under the supervision of attorneys and department directors, using online databases and other sources.
+ Support special projects as needed, including organization and project management.
+ Assist with reviewing client contracts and revisions to Company terms and conditions.
+ Support Chief Legal Officer, Associate General Counsel, and other management employees in preparing for depositions, hearings, trials, conferences and mediations.
+ Research and gather materials in response to subpoenas and discovery requests.
+ Coordinate initiation and management of litigation holds with impacted corporate services teams.
+ Assist with initiation and management of insurance claims.
+ Coordinate with local offices for distribution of safety-related postings.
+ Perform other duties as assigned.

+ Regular and predictable attendance is an essential function of the position.
**Qualifications**
+ High School diploma or equivalent
+ 3+ years of relevant office administration experience. Prior experience in a corporate or legal setting preferred.
+ Notary Public in the Commonwealth of Virginia preferred.
+ Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook and PowerPoint) and Adobe Software required. Experience with file document management tools preferred.
+ Demonstrated analytical and problem-solving skills.

**Physical Demands and Working Environment**
+ This position operates in an office five (5) days a week with flexibility during normal business hours.
+ Primarily indoor professional office environment which may include bright/dim light, noise, fumes, odors, and traffic.
+ Mobility around an office environment.
+ Frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
+ Occasional lifting or carrying up to 20 pounds.
+ Occasional pushing or pulling up to 20 pounds.
+ Occasional reaching outward or above shoulder.
