Leave & Time Off Program Supervisor

Job Description

The Leave & Time Off Program Supervisor oversees leave administration for leaves managed by our third-party vendor and leads the FBIN Leave Administration team to ensure that FBIN associates who are on a leave of absence are supported through this process. This role supervises the FBIN Leave Administration team to coordinate and administer all US leaves of absence programs including FMLA, ADA, Pregnancy Disability Act, STD, LTD, PPL, Worker’s Compensation, and related state and local statues for all FBIN associates in compliance with all applicable federal and state laws. The Leave & Time Off Program Supervisor will complete the centralization of US leave of absence programs, including harmonization of all leave policies and creation of standard operating procedures, and play a lead role in any future outsourcing or integration of leave administration or policies. The Leave & Time Off Program Supervisor will also be responsible for ownership of the company time-off programs such as holidays, vacation and sick/safe programs.  This fast-paced role will provide excellent customer service to our associates while administering or managing all the back-office functions of leave and time off administration and provide guidance and leadership to the leave administrators, location HR, and people managers.

 

Position location: This position is eligible for a hybrid schedule based in Deerfield, IL.

 

RESPONSIBLIITIES:

What you will be doing

Serve as the subject matter expert for all leaves and leave procedures and ADA and accommodation claims across the organization ensuring all interested parties have up to date, accurate information to best support our associates and their overall wellbeing and return to work when possible.   Serve as the subject matter expert for time off programs across the organization ensuring all interested parties have up to date, accurate information to best support our associates in accessing and utilizing time off programsPartner with HR Technology, Payroll, Benefits, Employee Relations and Corporate communications for the administration and communication of time off programs including any time off program reviews, analysis, legislative and other compliance requirementsDevelop, recommend, interpret and oversee centralized administration of US leave and ADA accommodation programs and policies in accordance with applicable federal and state employment law and educate local HR representatives and managers regarding regulatory compliance in their specific location.Manage the relationship with the third party leave administrator. Manage any joint projects including integrations, implementations, and system setup. Implement performance monitoring and execute swift issue resolution to optimize claim efficiency and ensure positive employee experience.Resolve complex issues and escalations using in-depth knowledge of leave and benefit summary plan descriptions, time off policies, federal, state, and local laws, and standard operation procedures.Manage leave staffing process, including interviewing, hiring, onboarding, performance reviews, coaching, and performance management of the Leave Administration team.Oversee weekly and bi-weekly payroll processes for associates on leave and collaborate closely with Payroll and the third party leave administrator to ensure accurate pay during leaves, efficient processing of short-term and long-term disability claims, and alignment with State/Federal regulations and company policies.Lead continuous improvement of the comprehensive process for associate leaves and accommodations and time off administration, prioritizing efficiency, communication, and positive associate experiences.Leverage reports, technology, and automation to increase accuracy and efficiency throughout the entire leave cycle.Produce and manage reporting metrics and analytics for all leave cases and ADA claims.  Present reports as requested.Assist in the creation and facilitation of leave administration training programs across all FBIN companies.Serve as the lead for implementing harmonized leave and time off programs and transitioning all open claims and time off programs for all future M&A activity.Manage the leave vendor by ensuring they are delivering on contractual requirements and being held accountable to performance guarantee metrics.

 

QUALIFICATIONS:

Bachelor’s Degree or equivalent required.6+ years of experience in leave administration.Strong HR benefit knowledge across Leave and Time Off plans.Knowledge of all pertinent federal and state regulations, including ERISA, ACA, COBRA, FMLA, ADA, HIPAA, Section 125, Workers Compensation, Medicare, Social Security and DOL requirements.Excellent communication skills with focus on confidentiality.Experience handling routine and complex benefit inquiries.Strong knowledge of database, report writing and HRIS systems, including relevant experience with Workday, SAP or Oracle.Strong analytical, organizational, and project management skills.Ability to multi-task and prioritize work on various projects simultaneously.Ability to work independently as well as in a team environment.Strong skills in MS Word, Excel and PowerPoint.

Fortune Brands believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is Hiring Pay Range: $70,000 USD - $110,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based sales incentive plan.
