Leave Coordinator
Department: Human Resources
Coordinates the support for all leave of absence cases and workers’ compensation claims. Effectively coordinates all cases/claims to include general administration, comprehensive case management and program compliance with the Family and Medical Leave Act and all related employment laws. Performs exemplary customer service to all employees.
Essential Functions
+ Serves as the subject matter expert for the leave and workers’ compensation programs in alignment and under the general direction and guidance of HR leadership.
+ Interprets and administers leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, Pregnancy Discrimination Act, etc.).
+ Oversees that the workers’ compensation program is managed in accordance with applicable OSHA and workers’ compensation laws.
+ Manages the Incident reporting system with daily review of new claims and processing the claims to 3rd party vendor. Ensures that all reportable workers’ compensation claims are submitted to the company’s vendor within 48 business hours from the date of the incident.
+ Audits and approves monthly worker’s compensation and billing for payment.
+ Coordinates with legal, 3rd party vendor and Chief of Human Resources on all legal filings and processes.
+ Coordinates appropriate medical appointments for employees who sustain workplace injuries or conditions.
+ Manages relationships with medical vendors to ensure appropriate accommodations meet the school district’s job descriptions.
+ Assigns employees to light duty work within their building or other assigned locations.
+ Approves and/or denies leave cases based on relevant medical information. Coordinates and organizes all medical information and ensures that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed.
+ Leads and Manages all administrative aspects of leave and workers’ compensation claims to include tracking hours used/taken and working closely with HR and Payroll to ensure that pay for employees is accurate and correct.
+ Oversees the leave of absence process by determining leave eligibility, preparing the respective notice (s) within the required timeframe, designating the appropriate leave status and tracking the start/end of leave of absence in the Employee System
+ Works closely with employees to ensure that all relevant completed medical documentation is submitted for timely review. Maintains appropriate contact with all employees on leave and coordinates all aspects of return to work for employees on leave.
+ Produces and manages reporting metrics and analytics for all leave cases and workers’ compensation claims. Presents reports as requested.
+ Conducts investigations regarding incidents and interviews relevant parties.
+ Partners closely with all HR on all leave cases and workers’ compensation claims. Meets regularly with the Chief of Human Resources to review claims’ status and develops strategies for resolution.
+ In partnership with building administrators and employees executive ADA accommodation requests.
+ Performs all other duties as assigned or required.

Professional Experience
+ Minimum three years of experience in leave of absence and workers compensation claims administration required.
Education
Associate’s degree with a major in Human Resources, Business or related field or equivalent experience in lieu of a degree is preferred.

The employee must frequently lift and/or move up to 50 pounds 0 to 12 feet and occasionally up to 20 feet, such as curriculum materials, desks, chairs, and boxes. The employee will sometimes push/pull items such as tables and carts. Specific vision abilities required by this job include close vision, color vision and the ability to adjust focus while working with computers, written materials, reports, assessment data, etc.

The noise level in the work environment is moderately quiet. The position requires the commitment of professional working hours that may require the employee to extend beyond a typical 8:00 a.m. to 4:30 p.m. workday. The employee will frequently work in different areas of the building including in/at desks, on or near the floor, standing.
